This article will provide a complete walkthrough of processing a transfer intake from start to finish. The "Configuration prerequisites" section below lists items in your configurations that will need to be completed prior to intaking a transfer from a partner.
Before you complete a transfer intake, you will need to make sure you have the following items configured and set up properly in your Shelterluv account:
- Add your transfer point of contact
- Add your partners
- Configure your transfer intake form and subtypes
- Configure your statuses
Processing a transfer intake
To begin, select the "Partners" tab on your main dashboard. From here, you will have two options to complete the transfer intake depending on whether or not your partner is a Shelterluv customer. Please note that you can also complete a service intake from a partner record. While the intake process is the exact same as below, you can find more details on completing a service intake linked here.
The partner is a Shelterluv customer
If the partner in question is a Shelterluv customer, they will need to first complete a transfer outcome on their end to share the animal record with your organization. Once your partner has processed the outcome, you will see a red and white number next to the partner's name indicating that you have pending transfer(s) to accept.
Once you have this notification, select the partner's name, then the blue "Accept" button next to the appropriate animal record, and then the grey "Complete Transfer In" button to complete the transfer intake form. Once this is done, the animal will be intaken into your care and will show on your main animal dashboard.
Please note that if you have multiple transfers to accept and process at the same time, you can do so by selecting each of the blue "Accept" buttons and then selecting any of the grey "Complete Transfer In" buttons. This will queue up each of the animals' transfer intake forms allowing you to complete each of them one after another.
The partner is not a Shelterluv customer
If the partner in question is not a Shelterluv customer and the animal record does not exist, select the "New Transfer From" option in the dropdown menu from the blue "Add" button next to the partner's name. This will open your configured transfer intake form. Once you complete the form and select the blue "Create Record" button, the animal will be intaken into your care and will show on your main animal dashboard.
If the animal record does exist and was previously transferred out to this partner, select the partner's name from your partner list and then navigate to the "Transfers To" tab. Then, locate the appropriate animal record, select the green "Select" button, and choose "Transfer Back In" from the dropdown menu. This will open your configured transfer intake form. Once you complete the form and select the blue "Finish" button, the animal will be intaken back into your care and will show on your main animal dashboard.
