How to Use Deposits

Shelterluv gives you the ability to configure certain non-adoption items as a deposit so you can notate when a deposit is redeemed or forfeited.

What do I need to configure before I process a deposit transaction?


Create a Non-adoption Deposit Item


Before you can use the deposit feature, you need to ensure you have your non-adoption items configured correctly. This is done by creating a non-adoption item using the Deposit Item Type.

Redeem or Forfeit a Deposit


Once you have processed a non-adoption transaction on the appropriate person record, the deposit will have a default status of Outstanding in your Deposits Taken quick report (details on the report below). You can then mark the deposit as redeemed or forfeited on the person record.

Once you are on the person record, follow these steps:

  1. Click the payment-outline.svg Transactions tab.
  2. Click the more-overflow.svg three dots on the right side of the deposit transaction, and choose outline-settings.svg Update Accounting from the dropdown menu.
  3. Choose Redeemed or Forfeited from the dropdown menu (Redeemed if the deposit was given back and forfeited if the deposit was kept).
  4. Assign the appropriate cash drawer and click the green Save button.

Once you redeem or forfeit a deposit, a new transaction is automatically created on the person's payment-outline.svg Transactions tab:

Tracking Deposits


We recommend using the Deposits Taken quick report to view all deposit-related transactions. This report is a great way to see all outstanding deposits in your account that haven't been redeemed or forfeited, as well as all the deposits that have.
