Custom Events vs. Custom Entities Reports
Shelterluv has two different types of custom reports: Events and Entities.
Your various events reports should be used to report on actions that took place, such as intakes, outcomes, completed transactions, completed medical items, etc.
Your two entities reports, Animals and Persons, should be used when you want to report on your records, such as reporting on person records that have a specific attribute or all your in custody animals that have a specific status.
Report Topics and Subtopics
Each custom report will have different topics and subtopics for you to choose from.
The Custom Entities report has two topics: Animals and Persons. This article focuses on the Persons topic only. You can learn more about the Custom Entities Animals report by clicking here.
The Custom Entities Persons report has three subtopics:
-
1. Created
This is the most commonly used subtopic and will produce a report of person records that were created within the given date range. If you want to generate a report for all person records in your account, set your date range far back enough to capture the earliest creation date for the first person record in your account.
-
2. Edited
Use the Edited subtopic to generate a report of person records that were edited within a given date range. This report will also include people who were created and not subsequently edited after being created.
-
3. Accessed
Use the Accessed subtopic to generate a report of person records whose profiles were accessed within a given date range.
Rules
Report rules are a great way to report on only what you need. You can think of a report rule as a filter.
For example, if you wanted to only report on person records from a specific state, you would add a rule for State Matches XYZ.
Here is an example of what that would look like:
The report pictured above would give you all persons in your account that were created within the given date range with the state of California.
There is no limit to the number of rules you can add to a report. Once you add more than one rule, you will have the option to have the report match all rules or any one rule.
Each rule can either have a condition of Matches or Does Not Match.
The following rules are available for the Custom Entities Persons Report:
Name | City |
State | Zip/Postal Code |
Primary Phone | Primary Email Address |
Attributes | Visit Type |
Do Not Call | Do Not Email |
Available Report Columns
Each custom report comes with its own set of pre-defined columns that you toggle on or off. The columns you see below represent all available columns for this report and additional columns cannot be added.
The Custom Entities Persons Report has 24 columns (plus additional columns for each of your custom memo types that you have configured) that you can include or exclude from your report so you can get the data you need while removing unneeded columns simultaneously.
