Submitted Application Notifications
As applications are submitted, you will see a red notification next to your username with the number of applications that have been submitted and not yet reviewed. This makes it very easy to see when you have newly submitted applications.
You also have the option for you and/or the applicant to receive an automated email when their application is submitted. You can learn more about this here:
- How to Build Your Applications (Find out how to enable automatic emails to you and other staff)
- How to Configure Your Application Email Templates (Enable automatic email notifications to your applicants)
Searching and Filtering in the Application Manager
-
Once you open the Application Manager, you will see all your applications in one unified view.
-
Use the search bar to quickly search through all your applications regardless of application status. You can search by name, phone, email, animal ID, or the "animals interested in" field.
-
To the right of the search bar, use the Filters button to narrow down your view. For example, we can filter for dog adoption applications that are currently in the In Process status.
This quickly filters out all the other applications so you can focus on what you need to see.
Reviewing Submitted Applications
Now that you know how to search and filter your applications, let's review how to open and work on them:
-
Once you're ready to review or work on an application, click anywhere on the application's row to open it and see all the key details.
Note
Clicking the person's name will open the application, not the person record. You can navigate directly to the person record once it has been created from the application Details section outlined in the next slide. -
In the Details section at the top, you will have the option to:
- Create a person record with the submitted data from the application.
- Assign the application to a staff member, or click Take it to quickly assign it to yourself.
- Update the application's status to Pending Review, In Process, Accepted, Denied, or Archived (more on statuses in the next section).
- Use the Contacted and Scheduled toggles to help notate these details with the rest of your team.
-
Below the Details section, you will see answers to all of the default and custom application questions, along with a disclaimer and signature if applicable to your application.
-
At the bottom, you will have the option to add and save notes regarding the application for you and the rest of the team to review.
Application Statuses
Applications can be moved through five different statuses:
- Pending Review - This is the default status that is automatically assigned to all newly submitted applications. The red number by your username represents the number of applications in the Pending Review status.
- In Process - Use this status after you've started reviewing an application, but it has not been accepted or denied yet.
- Accepted - Move applications to the Accepted status once they're approved.
- Denied - Move applications to the Denied status when they are rejected.
- Archived - Archive old applications that you don't need anymore or applications that were submitted in error.
You will also notice that when you assign an application to the Accepted or Denied status, you are given the option to email your configured application email template to notify the applicant.
Duplicate Checker
If an applicant submits an application with contact information that already exists on one of your person records, you will have the option to check more matches and either link the application to an existing record or create a new record if they are not a match.
If a person record was linked accidentally, you can always unlink the record by clicking the three dots on the right of the applicant's name and choosing Unlink Person Record from the dropdown menu.
