How to Add a Service Intake from a Person or Partner

Shelterluv makes it easy to process a service intake from a person or partner record. All service intakes will start from the person or partner rather than the animal.

To get started, navigate to the person or partner that the animal is associated with.

This article is broken up into two sections for service intakes from a person and for service intakes from a partner. The process of completing an intake from a person or a partner is different, so it is important to review each section thoroughly.

Process the Intake from a Person


You can complete a service intake for outcomed animals in your account, such as a previously adopted animal coming back for a vaccine or for a new animal record that has not been created yet.

The intake process varies slightly depending on whether that animal exists in your account or not. Click each tab below for step-by-step instructions for both scenarios.

  • Follow these steps to complete a service intake for a new animal record:

    1. From the person record, click the green Add Animal Event button.
    2. From the Add Animal Event form, click the intake-outline.svg Service In button.
    3. Fill out your configured service intake form and click the green Create Record button.

    At this point, the intake is complete. If you have the checkout and contract turned on for your service intake form, you will be taken to your shopping cart manager so you can add the needed charge and send the checkout to the person in order to get your contract signed and the fee paid.

    "How do I get the contract signed if I don't charge an intake fee?"
    If you have a contract you'd like the person to sign digitally, and you don't charge a fee, you should create a $0 non-adoption item for your service intakes. This will display as "Free" to the person completing the checkout, and they'll be able to read and sign your contract as well as give a donation if they wish. They will not be asked for credit card details unless they opt in to make a donation.

  • Follow these steps to complete a service intake for an existing animal record:

    1. From the person record that the animal is currently associated with, click the green Add Animal Event button.
    2. From the Add Animal Event form, click the intake-outline.svg Service In button.
    3. Check the box next to each animal you want to process a service intake with and click the green Continue button.
    4. Fill out your configured service intake form and click the green Create Record button. If you are intaking more than one animal, you will complete a service intake form for each record.

    At this point, the intake is complete. If you have the checkout and contract turned on for your service intake form, you will be taken to your shopping cart manager so you can add the needed charge and send the checkout to the person in order to get your contract signed and the fee paid.

Process the Intake from a Partner


While both processes are very straightforward, processing a service intake from a Shelterluv Partner vs. a non-Shelterluv partner differs, so make sure you review both options below.

You'll know if your partner also uses Shelterluv by the gold system-generated-outline.svg SL icon in front of their name.

Click each tab below to see how to process a service intake from a Shelterluv partner and a non-Shelterluv partner.

  • If the partner associated with the service intake is a Shelterluv customer, you'll want to ensure the partner processes a service outcome in their Shelterluv account to your Shelterluv account first. Once they do, you will see a red notification letting you know you have a pending intake from that partner.

    Once you have a pending service intake, follow these steps to process the intake:

    1. From the Partners tab on your main dashboard, click the partner's name with the pending service intake.
    2. Click the Service tab, check the box on the left side of each animal's name that is a pending service intake, and then click the green intake-outline.svg Accept Service In button.
    3. Complete your configured service intake form. If you are accepting multiple service intakes at the same time, you will have the option to apply what you enter to all intakes or complete a form separately for each animal.

  • If the partner associated with the service intake is not a Shelterluv customer, you have two options to process a new service intake

    Option 1:

    1. From the Partners tab on your main dashboard, click the more-overflow.svg three dots on the right side of the Partner's name, and choose New Service In from the dropdown menu.
    2. Fill out the service intake form and click the green Create Record button.

    Option 2:

    1. From the Partners tab on your main dashboard, click the partner's name and the Service tab, followed by the outline-add-circle.svg New service In button.
    2. Fill out the service intake form and click the green Create Record button.

Service Back In a Serived Out Animal


If you need to service an animal back in that was previously serviced or transferred out to a Shelterluv customer, follow the exact same process outlined above for completing a service intake from a Shelterluv partner.

If you need to service an animal back in that was previously serviced or transferred out to a Non-Shelterluv customer, follow these steps:

  1. From the Partners tab on your main dashboard, click the partner's name.
  2. Click the Transfers Out subtab or the Service > Service Out subtab.
  3. Check the box next to the animal that needs to be serviced back in and click the green intake-outline.svg Re-Intake button.
  4. Click the intake-outline.svg Service Back in button, and complete the service intake form.
