We've added three new ways to start Shelterpay carts for your adopters! You can now scan a QR code, email the checkout link, or copy the checkout link to paste wherever you'd like. This adds flexibility for your adoption counselors and your adopters during the adoption process. These changes will apply to all Shelterpay transactions.




"Customer has no phone" has been re-named to "Use this device." This new name gives a clearer description of this payment method. There are many reasons why someone may not be using their phone to complete the Shelterpay transaction.

As part of this change, you will see this "Continue to Payment" button on the Shopping Cart page for all transactions, not just adoption transactions. That will take you to this new pop-up, where you can select your checkout method. This will help make it a more consistent, streamlined flow for all transactions and for all payment methods.

Payout Reconciliation Report Updates

We've made an update to the Payout Reconciliation Report (which can be run from the accounting tab under quick reports) to help with your accounting team's reconciliation process. Now, you'll be able to see a separate total for each individual date within the date range you ran the report for and run the corresponding itemized detail report.

 

 

Additionally, you can click each row to see a summary of that day including the Gross Amounts, Refunds, and Fees broken out, while the summary table at the bottom will still list the total amounts for the entire date range.

Hourly Auto-Uploads to Adopt a Pet!

Adopt a Pet auto-uploads will now run once per hour. This is a significant increase from the previous interval of once every eight hours.

Over 1,000 people per hour run a pet search on Adoptapet.com. Keeping your listings up-to-date at this new frequency will keep these potential adopters better informed on which pets are available throughout the day.

Want to make sure your adoptable pets are listed? Read more about our integrations with aggregators for adoptable animals here.

For Adopt a Pet, you'll first need to create or log in to your Adopt a Pet account, set up an auto-upload account, and then find your FTP Username and Password. Take a look at their detailed instructions here on how to do this. Lastly, you'll need to enter your credentials under the Adopt a Pet section in Shelterluv Configurations here:

New Stax Accounting Reports

We've introduced three new accounting quick reports to make reporting on and reconciling transactions easier and faster! You will no longer need to compare your payment processor's reports with ours; everything will be available directly in Shelterluv reporting.

• Shelterpay Summary by Batch/Payout Date (includes both summary chart and detailed transaction/item reports)
• General Summary by Transaction Date (includes both summary chart and detailed transaction/item reports)
• Payout Reconciliation (includes both the summary chart and itemized report)

These reports will be available once your team has enrolled in Stax, the payment processing platform that Shelterluv is partnering with to power Shelterpay. If your team has not received a link to enroll yet, please reach out to help@shelterluv.com and we will help you get started.

 

 

This is an example of the Shelterpay Summary by Batch/Payout Date report which allows you to see Shelterpay transactions by batch/payout date and includes totals by both Fund / GL Code and Department and allows you to filter by Cash Drawer and Payment Method.

 

 

This is an example of the General Summary by Transaction Date report which allows you to see all transactions by transaction date and includes totals by both Fund / GL Code and Department and allows you to filter by Cash Drawer and Payment Method.

 

 

This is an example of the Payout Reconciliation report which will summarize the payouts from Stax by batch/payout date. (It simulates the Stripe Payout Reconciliation report that you may be used to seeing in your Stripe account.) You'll see totals for Count, Gross Amount, Fees, and Net in separate rows by Charges, Refunds, and the Total Paid Out.

 

 

Depending on your accounting requirements, you may find that one report in particular will work best for your needs. Read more about how each of these reports work here.

Coding Donations and Adoption Holds

You can now automatically code the following items to your configured Funds / GL Codes and Departments:

• Recurring donations made through mobile checkout
• One-time and recurring donations made through your Donation Boost Widget
• Adoption holds

To set up a Fund / GL Code and Department for donations, just navigate to the new Donations section of your Shopping Cart Configurations:

A New Microchip Integration: Fi Nano

Fi Nano now offers an integration with Shelterluv. Their microchips are ISO certified, internationally compatible with all universal scanners, and are the smaller 1.4mm microchip.

Microchips are free to register and update for life with owner information from any smartphone or computer. This integration supports all brands of microchips, so any microchip listed on a pet's record at the time of outcome will be registered automatically in the Fi Database.

Shelterpay Announcement: Upgrade to Your Payment Processor Coming Soon!

At Shelterluv, we put a lot of thought into the things that we have to build ourselves and the things that are better left to partners. YouTube is the current expert on hosting videos you take of your animals. Twilio allowed us to provide Text-to-Donate without building from scratch. We watch those partners carefully though, and if they no longer seem like the right partner, we have to swap them out.

When it came to payments, Stripe helped us get Shelterpay going quickly and helped you streamline adoptions and capture more donations. They have now let us down in two critical ways:

1. The reporting just isn't flexible enough to satisfy the needs of accountants and other finance managers across your organizations.
2. They tied up funds for a customer of ours in Nevada and would not respond to repeated requests to release them until we finally could get introduced directly to their CEO.

After a several month evaluation, we have decided to discontinue our relationship with Stripe and power Shelterpay with Stax. The reporting will be simpler and more comprehensive. We also have a dedicated contact to resolve any issues that happen to arise.  

What does this mean for you? In the next few weeks, your account signatory will receive an email with instructions on how to quickly switch to Stax. We’ve designed an easy switching process that should not impact your team and will significantly improve your reporting. Your team will not experience any difference in the way they process transactions through Shelterpay. For now, there is nothing to do on your end, but if you would like, learn more about Stax here.

Adoption Transactions Detail Report

We've created the new Adoption Transactions Detail Quick Report to help your team easily track and review adoption transactions made through Shelterpay!

You'll be able to filter this report for either Shelterpay or Non-Shelterpay adoption transactions.

 

 

New Option For Covering Processing Fees

You can now set donations to cover processing fees as mandatory for all Shelterpay checkouts.

Having your customers cover your processing fees means Shelterluv can be cost neutral for your organization and more of your Donation Boost dollars can be allocated to your lifesaving programs!

If you'd like to to set this feature as mandatory, just email help@shelterluv.com and we can make the change for you.

 

 

Upgraded Iframes & Donation Tools

All legacy iframes have now automatically been upgraded to our new and improved iframe. There are no additional steps needed on your end.

Additionally, if a donation originates from the donate button on an animal's profile on your website, the specific animal's name and ID will be listed in the transaction memo within reporting (for example: "Shelterpay Donation Boost Widget - Carl the Pug (XYZ-A-2)").

If you don't see the donate button on your animals' profiles in the iframe, you can turn it on in Configurations, or email help@shelterluv.com and we can turn it on for you!

Introducing Text-To-Donate!

Text-to-Donate is now built into our Shelterpay platform at no additional cost to help you bring in even more donations in the new year! 

Donors can now text a special code to 89871 and receive a text reply with a link to your organization's secure, mobile-ready Donation Boost Widget to complete their donation.

Your organization's special code is your Shelterluv prefix, which is the 3- or 4-letter code at the beginning of your usernames and animal/person/transaction IDs.

For example, if your Shelterluv prefix is XYZ, then you would include a message like this on all of our marketing material: "Text XYZ to 89871 to donate!"

 

The 89871 number only works with U.S. phone numbers on U.S. carrier networks. Canadian donors may text your organization's special code to 289-274-3780 in order to donate. Read more about the feature here.

 

The Donation Boost Widget Now Captures More Data

New fields are now captured in the Donation Boost Widget to help your team better collect and track additional donor information.

Donors will now be able to submit address information and have the option to add a note. The new note box will allow them to donate in memory or honor of someone, contribute to a specific campaign, or simply write some words of appreciation to your team!

 

If you'd like to customize the header above the note box, just email help@shelterluv.com with your preferred text (250-character limit).

 

Access Historical Invoices

You can now see all of your organization's past invoices within the Shelter Onboarding Page,  accessible from Configurations. They are available in the third section at the bottom of the page.

If you have the "Configure my shelter & its Users" permission, just log into Shelterluv and then navigate to Configurations > Onboarding and Billing > Shelterluv Onboarding.

Celebrate & Share Shelterpay Donations!

Two new Shelterpay donation summaries have been added to your Shopping Cart Manager:

• Shelterpay donation totals and averages for both you and your organization including lifetime, weekly, and monthly totals
• The last 10 Shelterpay donations (when a recurring donation is started, it will be denoted with a green recurring donation icon)

 

Live Donation Counter on Homepage

We've added a live donations counter at the top of the Shelterluv homepage. Now you can check in anytime to see the Shelterpay donations you and fellow Shelterluv users have been raising!

 

 

Improvements to Donation Boost

We've updated the design and default donation amount in the Donation Boost within Mobile Checkout to get you the most in donation dollars! 

Upon extensive A/B testing, the average donation made increased 18% (from $35.59 to $42.07) when the default donation amount was set to $50 (previously $25).

 

Celebrating Donations

After every donation is made, users will now be greeted with a celebration at the end of the checkout process. We hope this helps your team feel motivated and encouraged by celebrating their hard work.

Coming Soon to Mobile Checkout: Shelterpay Monthly Giving Program

The new Shelterpay Monthly Giving Program (recurring donations) will allow your donors to automatically donate on monthly basis. It is built right into mobile checkout making it easy and convenient for adopters to sign up and provide ongoing support to your organization!

When your adopters and other customers go through mobile checkout, they will have the option to give once or give monthly. The monthly giving levels available are $10, $25, $50, $100, and $200.

This new feature is coming soon to organizations utilizing Shelterpay through Stripe. Please read more here: Shelterpay Monthly Giving Program (recurring donations).

 

 

Accounting Reports

When a donor chooses to give monthly:

• The original transaction will include a transaction memo to notify you of this: "Shelterpay Monthly Giving Program: New $__ subscription started."
• The original transaction will not include the actual donation amount. Instead, a separate transaction will be created for their first donation payment.
• Their donation will recur automatically on the same day each month, and a new transaction will be created for each successful donation payment.

Stripe

You will be able to view all of your Shelterpay Monthly Giving Program participants in your Stripe account at any time, including a history of their processed donation payments.

The total processing fee for this program is 5% for most organizations:

• 2.9% + $0.30 per transaction Stripe fee (unless your organization has a different rate)
• 2.1% Shelterluv application fee (covers backend management of this program)

Donors Can Now Help with Even More Through the Donation Boost Widget!

Donations for processing fees can now be made through the Donation Boost Widget. This means donations made through your website and end-of-year email campaigns can go even further!

 

 

Partner Data Now Available for Stray Intakes

We are now mapping the partner information for stray intakes from partners in reporting. The following reports and report fields have partner source information (previously only available for Transfer Intakes from partners):

• Custom Events Intake Report - the "Transfer From" field (see screenshot below)
• Custom Events Outcome Report - the "Transfer From" field
• Animal Intake Quick Report - the "Intake From (ID)" field which will contain the partner prefix and the "Intake From Name" field within the detailed report

 

Archiving Subtypes

You can now archive intake and outcome subtypes that you do not plan to use moving forward but would like to retain for historical reporting purposes. Archived subtypes will have an indicator flag in configurations. They can also be unarchived and used again if needed.

More Filtering, Less Reporting!

We've added three new filters on the main dashboard: Sex, Altered, and Age Group. We've also added a new column for Sex which will display the icon for unaltered pets. We hope this saves you time in the adoption matchmaking process!

New Iframe Fields & Toggle Options

Adoption Fee and Intake Date have been added as new fields for your website's iframe!

Additionally, you can now toggle on/off any of the animal profile fields. Just navigate to Configuration > Uploads and Integrations > My Organization's Website to pick and choose what will work best for your organization!

• Animal ID
• Breed
• Sex
• Weight
• Age
• Location
• Adoption Fee
• Intake Date

Note: You do not need to update the code on your website after making changes on the Configuration page. All settings will immediately be applied to all of your existing iframes.

 

 

Donation Boost in Mobile Checkout

A new Other Amount option is now available in mobile checkout, allowing your donors to be even more generous!

Foster Finder

This week, we have made our Foster Finder easier to find and easier to use! This powerful tool helps your foster team quickly identify and recruit available foster parents right in Shelterluv!

(Note: Foster Finder was formerly known as Filter for Fosters.)

 

Logic Updates

Foster Finder will now look at all people with the "Willing Foster" attribute AND/OR are actively fostering. How this is different from previous behavior:

1. Active fosters without the "Willing Foster" attribute are now included, when they previously were not.
2. People who have left the foster program (those who had their "Willing Foster" attribute removed) are now excluded, when they previously were not.

 

Navigation Updates

Under the main People tab, you will now see new subtabs:

1. Recent Records is loaded first and has the same records you're used to seeing on the main People tab.
2. Foster Finder gives you a quick way to start your foster search!
   
   

 

Starting Your Foster Search

You can filter by just animal type and capacity, or you can get more specific with people attributes and start/end dates.

 

1. Start your search by filtering for an Animal Type.
2. Capacity will default to 1 and can be updated as needed.
3. You may select one or more Attributes if you are using people attributes for your foster program (e.g. "Bottle Baby Foster"). Filtering for multiple attributes will return people that have all of the selected attributes.
4. Start Date and End Date are now optional fields that will check against any blackout dates listed in Foster Profiles.
5. Exclude active fosters allows you to hide foster parents who currently have animals in their care, which is helpful to do prior to sending out foster plea emails.
   
   

Foster Plea Email

We have added a Reply-To Email field to the foster plea feature! This will pre-populate with the current user's email address, and you will be able to change it if you would prefer responses to go to a shared foster inbox instead.

 

Export Options

In the top right corner of Foster Finder, you will see two ways to export your data to Excel:

1. Export Current View provides all data that is currently displayed on your screen.
2. Foster Contact List provides a mailing list of all people with the "Willing Foster" attribute AND/OR are actively fostering. This export only contains their contact information.

 

Audit Your Foster Profiles

Foster Finder only works with records that have a foster profile set up with their Animal Type and Capacity preferences, so be sure to audit your records to identify those still missing a foster profile!

We've made this easy to do:

1. Select the Display willing fosters without foster profiles checkbox.
2. Click on each person's name to open their record in a new tab and navigate to their Attributes tab to check if they have the "Willing Foster" attribute.
   • If they do not have the "Willing Foster" attribute yet: Add the attribute and fill out their foster profile in the pop-up.
   • If they do have the "Willing Foster" attribute already: Navigate to the Animals tab, click on the Foster Profile button located in the upper right-hand corner, and fill out their foster profile in the pop-up.

 

Note: The Animal Type and Capacity filters will be disengaged until you exit this view because they work directly with foster profiles.

Google Maps

The address search feature in Shelterluv has been upgraded to use Google Maps, which produces faster and more accurate results than our previous map provider (OpenStreetMaps). You will see this change on the create new person page, stray and wildlife intake forms, and clinic configuration.

 

Note: Field & Community Services was already using Google Maps, so no changes were made there.

 

Applications

The Add Another Animal link on owner surrender and custom applications has been updated to be larger and easier for applicants to find.

A Shiny New Donate Button for Your Iframe

Over $4.2 million in donations have been raised through Shelterluv's popular Donation Boost features, and now we've made it even easier to attract new donors with a Donate button on the most visited pages of your website - your adoptable animal listings!

This new feature works seamlessly with our Donation Boost Widget, which is a free tool to help you capture more donations through Shelterluv.

 

Add the new Donate button in seconds!

1. Navigate to Configuration > Uploads and Integrations > My Organization's Website.
2. Select the Enable "Donate" button on all iframes checkbox.
3. Visit your website to check out the shiny new button!

 

Notes

• If your free Donation Boost Widget has not been set up yet, you will be redirected to do so from the Configuration page.
• After enabling this feature, you can click the blue external link icon to preview your Donation Boost Widget page (where your donors will be sent if they click the Donate button).
• This will be automatically applied to all existing iframes on your website; you will not need to update any code on your website unless you are still using the legacy version of our iframe (which does not support newer features such as filters).

Stripe Reports

Donations for processing fees are now separately noted in reports pulled from your Stripe account. In this sample transaction description, the customer opted to make a regular donation in addition to covering processing fees: "Adoption of Buffy for $250.00. Processing fees donation of $12.06. Donation of $25.00."

 

Custom Reports

The Custom Entities Persons Report has been updated to include apartment number in the same field as the street name.

The Custom Events Intake Report (events not counted towards live intake numbers) has been updated to include a rule and custom column for Intake Jurisdiction.

 

Field & Community Services

Closed cases can now be re-opened with the Supervisor: Can close/re-open/delete cases permission.

No rabies vaccination has been added as a new Violation Type.

 

Search

The main search bar has been updated to return more accurate results for names with multiple words.

 

Shelter Animals Count

The upload functionality on the Shelter Animals Count website has been fixed to accept the Excel file from Shelterluv. Please note that there is still a known display issue that doesn't show the newly uploaded data, but you can still confirm the data is there by using their export functonality.

Auto-Uploads to Petfinder, Adopt-a-Pet, and RescueGroups

Your auto-uploads to aggregators of adoptable animals can now include attributes specifically mapped to these websites' values for:

• Good with Kids
• Good with Dogs
• Good with Cats
• Housetrained
• Special Needs

This increases your animals' visibility as they will work with any filters or matching algorithms on these websites!

 

Attribute Translations

The table below defines the attribute names that will trigger these special translations. A few notes:

• Each attribute must be an exact spelling match, but they are not case sensitive, so "Good with Dogs / "Good with dogs" / "Good With Dogs" will all work.
• Each attribute must have the configuration of "Publish to Web = Yes"
• If multiple attribute names are available for the same translation (e.g. "Single Dog Home" and "Not Good with Dogs"), then only one needs to be present on an animal record for the trigger to work.
• If there are two conflicting attributes (e.g. "Good with Dogs" and "Not Good with Dogs") on an animal record, then it will be translated as blank/unknown.

Editing Attribute Names

To make this transition easier, we have also made it possible to edit your animal attribute names in Configuration > Processing > Attribute Manager. Any edits made will be applied to both current and historical animal records. (Please note: You will only be able to edit the names of shelter defined attributes and not fixed attributes.)

 

 

Auto-Uploads to Found Animals Registry

There is now a new option for excluding animals in shelter from being auto-uploaded to the Found Animals Registry, which will be helpful if you take in strays or provide assistance with found pets and don't want microchips to be re-registered to your organization during a stray hold or while Found Pet Alerts are active.

On your Configuration page under Uploads & Integrations > Microchip Registries, you will see this new option to Exclude animals in shelter from auto-uploads.

 

 

If you enable this option (don't forget to hit Save), then animals will not be registered until one of these qualifying events happens:

• Foster Out - chip will be registered to your organization
• Adoption/Return to Owner/Service Out to a person - chip will be registered to the owner

Multi-Select on Attribute Filters

You can now select multiple attributes when filtering for animals, people, or fosters, which unlocks the power to do better adoption and foster matching without ever leaving your main dashboard! Add as many as you'd like, and we will only return records that match all of your selected attributes.

 

 

To make the experience even better, the dropdown has been updated to allow typing so you can quickly find the attribute(s) you're looking for. In this example below, typing in "dog" will bring up all dog attributes and any other species' attributes that contain the word "dog."

 

 

People & Fosters

On your main People tab, click on the filter icon and you will find that the Filter for Fosters feature can now be launched with a separate button (instead of its previous location at the bottom of the attributes filter).

 

The Attributes field on this pop-up has been updated to support multi-select for more efficient foster matching!

Record Management

The Record Management module will now give you more visibility and control over your intake/outcome events and how they count towards your reporting numbers.

 

Reporting Column

A new Reporting column has been added to the Intakes and Outcomes tabs that will indicate whether or not the event counts towards your intake/outcome numbers in reporting, including the Shelter Animals Count report.

 

 

Subtype Editing

The reporting status is driven by your configuration for each intake/outcome subtype, so we added an easy way to edit subtypes on historical events! Just select the event(s) that you want to edit, then click the Edit Subtype button to choose and apply a new subtype.

 

 

Note: Only events of the same intake/outcome type can be edited together, so if you select a Stray intake and an Owner Surrender intake, you will see an error message since those intake types have different subtype options.

Donations for Processing Fees

As of today, this feature is live for all transactions going through our integrated credit card processor Stripe!

Giving your customers the opportunity to cover your processing fees means Shelterluv can be cost neutral for your organization and more of your Donation Boost dollars can be allocated to your lifesaving programs.

On the very last screen of the checkout, your customers will see this option, which is automatically calculated to cover:

• All Stripe-related processing fees
• Your Shelterluv fee per adoption (for adoptions only)

This box will be checked by default, though your customers can choose to opt out of the donation. (If you specifically asked for the box to be unchecked by default, we have applied that setting to your account.)

 

Medical

DemeDIOX has been added as a suture type option for surgeries.

Time Zones

Shelterluv now supports all time zones! Just head over to Configuration > My Organization to make the switch.

You won't need to do this if:

1. You're already in the default Pacific time zone (unless you just want to experience Shelterluv in a different time zone for fun - we won't stop you)
2. You previously configured your time zone for the scheduling module - we've  automatically applied it as your main time zone

New & Improved: Shelter Animals Count Report

The Shelter Animals Count report in Shelterluv has been updated to match the new version their team announced earlier this month! With this update, we've also introduced a new tool that allows you to audit this report so you can drill down and see exactly which animals are being counted in each matrix.

 

 

Highlighted below are the notable changes from the previous version, and we also recommend reviewing our main help article for this report: Shelter Animals Count report in Shelterluv

 

Excel Export

The Excel file has been updated to the new version that Shelter Animals Count accepts for uploading on their website. Using this file is much easier than manually entering your data on their website!

 

Beginning & Ending Animal Count

The two counts at the beginning and end of the date range selected are now split between In Shelter and In Foster. Please note that animals will only be considered in foster care if they were moved into the care of a foster parent and therefore had an In Foster Status on the day in question.

 

Animal Types

SAC has started accepting data for more animal types beyond dogs and cats so each one now has its own matrix and corresponding audit tool.

Here is how they map to the animal types in Shelterluv:

• Transfer intakes & outcomes have been split into three categories. We use a partner's state/province in our database to determine which bucket each event should fall into:
  • In state - partner state is the same as your organization's state
  • Out of state - partner state is either blank or is not the same as your organization's state
  • International - partner is in a Canadian province
    
    
• Impound/Seizure is a new SAC intake category that is not supported by Shelterluv's existing intake types, so this row will always be zeroes.

 

NEW: Report Audit Tool for Shelter Animals Count

 

This new audit tool will give you insight into which animals are being counted for the Beginning Count, Ending Count, intakes, and outcomes. Clicking on this blue button, found in the top right corner of each matrix, will provide you with an Excel file with following columns:

• Animal ID
• Animal Name
• Species
• Beginning Count
• Ending Count
• Intake date
• SAC intake type
• SL intake type
• SL intake subtype
• SL intake subtype configuration (counts towards reporting?)
• Age at intake
• Outcome date
• SAC outcome type
• SL outcome type
• SL outcome subtype
• SL outcome subtype configuration (counts towards reporting?)
• Age at outcome
  
  

Beginning & Ending Animal Count

The possible values for these columns are:

• In shelter - the animal was in a shelter location (not in foster) at the beginning/end of the report range
• In foster - the animal was in foster at the beginning/end of the report range
• Not included - the animal was not in custody at the beginning/end of the report range
• Not included (multiple events) - this indicates the row is an additional row for the animal in the audit report, either because it had multiple intakes or multiple outcomes within the report range, and prevents the animal from being double-counted in the audit
  
  

SL intake & outcome subtype configuration (counts towards reporting?)

These columns indicate whether the intake or outcome event's subtype counts towards reporting or not. This is helpful for understanding discrepancies in your data; for example, if an animal's intake subtype counts towards reporting but its outcome subtype does not (or vice versa).

We recommend reviewing these articles if you are not familiar with how subtype configurations impact your reporting:

Please note: If you edit a subtype from the animal record (How do I update an intake or outcome subtype?) instead of from Configuration, the subtype setting for if the intake or outcome counts or doesn't count towards live numbers is not adjusted to match the new subtype for that specific event.

The possible values for these columns correspond with the age categories defined by Shelter Animals Count:

• Adult

Shelterluv Scheduling

Memos

You can now add or edit memos for both pending and scheduled appointments. This is a great place to make notes that will be visible to the rest of your team such as: who the potential adopter is coming to meet, what supplies a foster parent is coming to pick up, the team member who will be handling the appointment, etc.

 

Notifications

Your main gear menu now includes Events which displays a notification icon for the number of pending appointments waiting for review. Clicking on this new menu item will bring you directly to the Tasks > Events > Pending tab. (Please note: The main notification icon at the top is a sum of both pending appointments and pending applications.)

Reporting

Person ID has been added as a custom column option on the Custom Entities Persons Report. This will be the prefixed ID (e.g. XYZ-P-123) that you normally see in Shelterluv, as distinct from the Internal ID that's used in the API (and is still an available column as well).

 

Medical

The maximum number of refills available on treatment labels has been increased from 10 to 12 to support a full year's worth of monthly refills.

 

Sneak Peek: Donations for Adoption Processing Fees

Most of you already cover 100% of your processing fees through our Donation Boost feature in the checkout flow, but we want to get even more money into your hands!

That's why we will soon be adding an option for your adopters to cover processing fees through an additional donation with every adoption! This will be selected by default (though the adopter has the option to opt out if they would like) and will be automatically calculated to cover:

• All Stripe-related processing fees
• Your Shelterluv fee per adoption

We will make another announcement once this is live for everyone - no configuration will be necessary, so just sit tight!

If for any reason you would like to opt out of this feature, please let us know by this Friday, April 30.

Custom Applications

You can now create custom applications in Shelterluv! The powerful applications module you've come to know and love has been expanded to support all of your other lifesaving programs such as Community Cats, Community Services, Volunteer, and more!

Another exciting new feature is the ability to collect profile information for up to five animals per application that can be used to quickly populate new animal records. This is an option on custom applications, and we have also updated all Owner Surrender applications to automatically support up to five animals instead of just one. (If you currently have configured questions to account for additional animals, we recommend revisiting them.)

 

Steps to Get Started

Navigate to Configuration > Application Builder and select Add New Type from the bottom of the dropdown menu.

 

Now you can enter basic details for your new application:

• Application Name - this is public-facing and is limited to 25 characters
• Category - select from Community Cat Program, Community Services, Volunteer, or Other
• Collect Animal Information - check this box if you want applicants to provide information about their owned animal(s), up to 5 per application

Next, use this handy checklist to make sure you are taking advantage of all our application features! (Related help article: Building your applications)

• Add your own questions
  • Don't forget that we automatically include questions for the person contact info and (if enabled in the first step) animal profile info, so you don't need to add them!

  • Application Received: Your message will appear above a copy of the completed application and is a great place to provide details on what they should expect next

Shelterluv Presents: Advanced Community Programs Data Tracking

Enough talking about the future of animal welfare. You can now put numbers to your impact and contributions to your community with the very first comprehensive tracking tool for field & community services in our industry.

Get ready to ditch some spreadsheets--whether you're running a food pantry, community cat program, resource hotline, or wellness clinic, or having your officers divert intakes in the field--you can now measure and report on it all in Shelterluv!

Track and report on numbers such as:

• people and animals assisted
• pounds of food distributed
• microchips, vaccines, and other medical services provided
• touchpoints with each community member
• staff or volunteer hours spent on behavior training
• cats trapped, released, and intaken
• ...and much more!

We currently support tracking of over 70 metric types, which can all be explored in our Field & Community Services User Guide. They are broken down into four categories:

When creating or editing an activity in Field & Community Services, you will be able to quickly enter metrics in one of two ways:

1. Typing in larger numbers directly
2. Using the plus and minus buttons to increase/decrease by one

When you are ready to report on these metrics, you'll be able to get a quick breakdown using the new Metrics Summary report.

A new activity type called Community Services - Pet Food/Supply Pantry has been added with the following subtypes:

Size Groups for Petfinder/Adopt-a-Pet/RescueGroups

The size group field on dog records is now being pushed through to Petfinder, Adopt-a-Pet, and RescueGroups for organizations who prefer to display the dog's size when grown. Previously, we were  translating the dog's current weight into a size group, which will still be used as a backup method if no size group is found.

 

Custom Medical Reports

Twp custom medical reports--Treatments Completed and Surgeries and Procedures--have been updated to include transferred out animals.

Application Manager Updates

You can now create animal records directly from Owner Surrender applications, speeding up your intake processes! You will notice a new Create Record link under the animal's name, which will auto-populate an animal profile and attach it to the applicant.

 

 

Which animal profile fields from the application will be auto-populated onto the newly created record?

All Owner Surrender applications include the following default fields that will automatically populate onto the animal record upon creation. All other questions on the applications are configurable by organization and therefore cannot be auto-populated.

• Animal Name
• Primary Breed
• Color
• Sex
• Age Group
• Age Today
• Estimated Birthdate
  
  

Where can I find the animal record after it's created?

The new animal record will be:

• linked directly from the application itself
• on the Animals tab of the applicant's person record
• searchable like all other animal records (you will need to uncheck the "show in custody animals only" box if the intake has not been completed yet)
  
  

Why don't I see this "Create Record" option on all Owner Surrender applications?

If an application is not connected to a person record yet, then you will not see this option because the new animal record must be attached to a person record. To create a person record first from the application, simply move the application to Accept, Reject, or Archive and select that option.

 

What if the animal on the application already has a record in Shelterluv?

If the applicant already has associated animals, they will be displayed on a pop-up like the one below to ensure no duplicates are created. You can either select an existing animal to attach the application to or you can create a brand new record if the animal does not exist yet.

 

 

How do I process an intake using the new animal record if they come in?

On the applicant's person record, you will find this new record under the Animals tab as a "Previously Owned Animal" (which just means an animal with no intake or outcome events yet). Simply click the green Select button on that row to start an intake. The intake form will pre-populate with the animal's existing profile information, expediting the intake process.

Application Exports

We are excited to announce that application data can now be exported, which means you can harness the power of Excel to pivot and analyze this data to your heart's content! Get answers to questions like:

• How many cat adoption applications did we receive in 2020?
• How many were accepted? rejected? archived?
• How many applicants answered [any configured question] with _________?
• ...and much more!

Ready to dive in? In your Application Manager, look for the new Export button.

 

 

Then select the criteria for your export:

• Application Type - Each type must be exported separately since they all have different configured questions
• Application Status - Select from All, Pending Review, Accepted, In Process, Denied, and Archived
• Start Date and End Date - If you receive a high volume of applications, we recommend limiting your exports to smaller date ranges to avoid timeouts

 

Surgeries on Custom Medical Forms

Need to schedule an animal's spay/neuter surgery as you're completing their intake exam? Or enter other medical as you're completing a surgery? New Complete Surgery and Scheduled Surgery sections are now available to be added to your Custom Medical Forms!

Navigate to Configuration > Medical > Custom Medical Forms to make updates to your existing forms or create new ones.

Configurable Adoption Emails

Adoption emails are leveling up once again with this week's updates! You can now configure the message that goes out to your adopters to provide them with tips, resources, links, and post-adoption reminders. This message will be sent with your Digital Adoption Packet and/or other documents selected for email in the checkout process.

 

 

Easy setup:

1. Navigate to Configuration > Email Templates > Adoption > Adoption Documents
2. Select Dog, Cat, or Other to begin configuring a message for that animal type
3. Enter your Email Subject (limited to 100 characters), Reply To email address, and Email Message
4. Once you're done, remember to click Save Email Template!

A few things to note:

• In the yellow help text box, you will see the format of the default language we include at the beginning of the email; your message will appear below it, so we would recommend not repeating "Hello" or "Congratulations" again - it would sound awkward to your adopter!
• In the email message, URLs will be automatically hyperlinked so that you can provide your adopters with links to additional resources.
  
  

Location Filters in Tasks

The following tabs in Tasks have been updated with new location filter options for: Offsite Only, Onsite Only, and In Foster Only.

Iframe Configuration

A new option for Hide Animal IDs in URLs has been added as an additional privacy measure; it prevents members of the public from being able to adjust the ID number in a URL to find other animals who may not be ready for adoption yet.

Please note that enabling this option will break any animal profile links that were previously emailed out or posted on social media.

 

 

New and Improved Adopterluv

Adopterluv accounts have a new and improved look for your adopters! These accounts have been redesigned with two goals in mind:

1. To pre-fill with even more of the important information about their new pets, including microchip number, weight, upcoming and completed vaccines, all of the documents that you share with them, photos, and more.
2. To make it easy for adopters to find all of this important information in their Adopterluv account as soon as they've first opened it.

What's New in Surgeries

You can now edit, reschedule, and complete existing surgery records from the animal record--and every edit will be logged for auditability--giving you more flexibility and control over this part of your medical data!

To support all this new functionality, we have given this tab a major facelift so that it looks and works like other medical tabs you're already familiar with. Surgeries will display as either Scheduled (blue), Overdue (red), or Complete (gray), and surgeries in all three statuses can be edited or deleted.

Please note: Deleted surgeries can still be viewed by selecting Show deleted surgeries at the bottom of this tab.

 

Options for "Scheduled" or "Overdue" Surgeries

In the menu in the top right corner of the surgery card, you will find options to Edit, Reschedule, Complete, or Delete a Scheduled or Overdue surgery.

 

If you select Edit, you will be able to make changes on the form below.

 

 

Options for "Complete" Surgeries

In the menu in the top right corner of the surgery card, you will see an option to Edit a Complete surgery; in edit mode, you will also have the option to Delete the surgery.

After a surgery has been edited, a Show Edits option will also be available, and a new timestamp will be added to the bottom right corner. This timestamp will reflect the most recent time that the surgery was edited.

 

Auditability

Clicking on Show Edits will give you a detailed history of each field that was changed, including the timestamp and the user it was edited by.

 

Treatments

IT (intratesticular) has been added as a treatment route.

Intake/Outcome Subtype Configuration

We have made a few improvements to how intake and outcome subtype configuration works! Editing a subtype will now apply the changes to all previous events that have been processed under it, and deleting a subtype will now allow you to update all previous events to a different subtype that you're keeping. This new functionality will ensure your historical data stays clean and accurate whenever you're making configuration changes.

To update a subtype, go to Configuration > Intake & Outcome > Intake Subtypes / Outcome Subtypes.

 

Editing Name of Subtype

When you edit the name of a subtype, it will also update on all historical records under that subtype to the new name.

 

Updating "Count Towards Intake/Outcome Numbers" Setting

When you update whether a subtype counts or does not count towards intake/outcome numbers, that setting will be applied to all historical records under that subtype.

This is particularly useful if the subtype was originally configured incorrectly.

 

Deleting a Subtype

When you delete a subtype, you will see the following message:

"Because the subtype you are about to delete has been used on animal records in the past, you must choose a new subtype for those records to "fail over" to. This will impact your historical reporting, so we recommend choosing a subtype that is most similar to the one you are deleting. If no other subtype exists, please create a new one."

From there, you will select another subtype from the dropdown, which will be the new subtype for all historical records of the subtype you are deleting.

 

Changes Made Prior to 2021

If any of these changes above were made before 2021, then historical records were not affected as the functionality described above did not yet exist. If you would now like to update those records:

If the subtype still exists

Any changes you make now will be applied to historical records under that subtype.

Example: You have a service intake subtype of "Public Clinic" that was originally configured to count towards intake numbers, and you updated it to not count after you realized they were being mixed in with your normal intakes, but your historical records were not updated. To get all records in sync, change the setting back to count, save, and then change it back to not count.

If the subtype no longer exists

Simply add that subtype back into your configuration, then make edits and deletions as needed.

Example: You previously had an adoption outcome subtype that was renamed, so the original subtype no longer exists in configuration but still exists on historical records. To apply the new subtype name to those records, add the old subtype back into configuration, then delete it again. This time you will be able to select a new subtype to "fail over" to, thus updating all your historical records.

 

Field & Community Services

Need Trap has been added as a new Stray case subtype for situations in which a stray dog could not be captured and a trap needs to be set as a follow-up.

Note: New configuration values can be enabled easily on your Field & Communicty Services Configuration page.

Protected Pet Reports

As promised, we've rolled out more Protected Pet Reports to cover even more of the common diseases that can wreak havoc in a sheltering environment. You will now find Needs FVRCP Vaccination and Needs DHPP Vaccination as new reports under the Protected Pet tab.

NEW: Protected Pet Reports

Shelterluv is excited to introduce Protected Pet Reports, a critical new tool that will help your team stop disease spread in its tracks!

This series of reports will give you confidence that each and every animal in your care is protected against infection by identifying those who are not currently up-to-date on a vaccine/preventative or have not been scheduled for their next one.

 

Needs Rabies Vaccination

The first report in this series identifies animals who have no rabies vaccine on file, no rabies vaccine scheduled, or are overdue for a rabies vaccine.

To get started, navigate to Analysis & Reports > Quick Reports, where you will find a new tab called Protected Pet.

 

 

After running the report, you will be able to sort by any of the columns or use the available filters.

In this example below:

• Postman and Fluffy both have rabies vaccines on file and have the next one scheduled; however, they are both overdue for their scheduled vaccines
• Clifford has a rabies vaccine on file but does not have his next one scheduled yet
• Duchovny has no rabies vaccine on file and does not have one scheduled
  
  

 

Filters

This report features several age-specific filters to accommodate requirements of different states or municipalities. There is also a "Show all animals" option in case you want to capture underage animals and make sure they have a vaccine scheduled for the appropriate time.

• Show animals over 12 weeks of age (default)
• Show animals over 16 weeks of age
• Show animals over 4 months of age
• Show animals over 6 months of age
• Show all animals

 

Animal and People Record Links

Each animal ID is hyperlinked for easy access to the animal record, where you can complete and/or schedule a rabies vaccine.

Additionally, animals that are currently in foster will have their foster parent's record hyperlinked, where you can find their contact information and reach out to schedule an appointment for the rabies vaccine.

Digital Adoption Packets

Behind every successful adoption is the wealth of information that your organization provides to each adopter. Whether you want to send them home with information on clinic services, good nutrition, training tips, microchip registration, pet insurance, or any other resources - it's now easier than ever to deliver them!

Rather than making physical copies or sending out an extra email after the pet goes home, your adopters can now receive these valuable resources in the same email as their receipt, contract, medical history, and other Shelterluv system-generated documents! As an added bonus, all of these documents will be automatically imported into each adopter's free Adopterluv account.

To get started, navigate to your Configuration panel, where you will find a new section called Digital Adoption Packets under the General Shelter tab. Then click Add New Document as shown below.

 

 

In the pop-up, enter a Document Title - this will be visible to your adoption counselors at the time of checkout and it will be the filename that your adopters see when downloading documents. This field is limited to 40 characters.

 

 

By default (see above), the document will display at checkout for all species and age groups, but you can limit it to specific Species and Age Groups by clicking on each of those fields. For example, this document has been configured to display for puppy adoptions only.

 

 

Finally, you will select a Category for the document, which will keep everything organized on the document delivery pop-up shown here.

 

 

That's it! Rinse and repeat for each resource you want to provide to your adopters. With each adoption checkout, you will be able to email and/or print your Digital Adoption Packet documents along with the the usual system-generated documents!

 

Field Services & Community Programs

Community Partner has been added as an Associated Person Role. This can be used, for example, to describe an individual who helps facilitate pet food distribution within their neighborhood or organization.

You can now schedule custom reports to be auto-emailed! This powerful new tool means you no longer have to run, export, and email out reports manually.

 

In the Analysis & Reports module, you will now see a new tab called Automated Reports. Click the green "Add New Automation" button to get started!

  • A brief summary of this automation to be displayed on the main screen, e.g. "Daily accounting - 9pm"

Additional Reporting Updates

Voided transactions have been updated to display more clearly on the person record and in all accounting reports that show transaction details. We will now show two separate rows for voided transactions:

1. The original transaction details.
2. A new row indicating what was voided, the negative dollar values for the voided item(s), and the date it was voided. Please note: All other details on this row will reflect the original transaction, including the user it was processed by.

Additionally, small discrepancies in tax calculations and length of stay calculations have been resolved.

Removing Barriers on Adoption Applications

We are excited to announce that the default household questions on adoption applications are now configurable, which means your organization is welcome to change the language to be more inclusive or remove them entirely!

As an industry, we are moving forward to eliminate biases and create more inclusive and equitable adoption processes. This new approach embraces community members, encourages them to adopt, and helps them and their pets succeed.

 

Configuration

You will now see the following questions in Configuration > Application Builder above your other configured questions:

• Name and ages of all people in your household
• What is your household's general noise and activity level?
• Housing
• Housing Type

 

Additional Notes

• Your applicants will now see these questions on the final page of the application--with your other configurable questions--instead of the page that asks for their contact information.
• The "Which animals are you interested in?" question is still a default question on generic applications because its answer is displayed in the subject line of the auto-emailed application your team receives with each submission.

 

New Application Question Type: Dropdown

A new dropdown question type is now available for Adoption, Foster, and Owner Surrender applications. This can be used for any questions that you want to limit to a single response.

Field Services

Animals and people who have been associated with any Field Services cases or activities will now have a "Field Services Record" flag displayed on their Shelterluv record. This new indicator allows your team to quickly identify records that may have additional information in Field Services.

 

• Users with the "Field Services Access" permission will be able to click on this flag to access the Field Services version of that animal or person's record, which includes their associated cases or activities, broken down by current status (New/Open or Completed/Closed).
• Although users without the "Field Services Access" permission will not be able to click on the flag, it will serve as a reminder that they may need to ask another team member--one with access to Field Services--for more information.

 

New Configuration Values

The following have been added to our global list of configuration options:

• Reference Type: Complaint #
• Activity Resolution: 48 hour notice to comply

New Iframe Design

We are incredibly excited to announce the launch of our new iframe! With this redesign, we were able to add many useful features that will make it easier for your potential adopters to find their perfect match, right on your organization's website.

Filters

Filters are here to help visitors find the animals that match what they're looking for! The following filters are now available:

• Species
• Sex
• Attributes (only attributes configured to publish will display here)
• Age Group
• Breed
• Size Groups (only visible when filtering for dogs)

Additional Notes

1. These filters work dynamically based on the animals in the iframe; for example, if an iframe only has dogs, then the Species filter will not display at all since there would not be other options to select.
   
   
2. The Attributes, Age Group, and Breed filters have separate sections for each species present in the iframe, e.g. cat attributes are all grouped together.
   
   
3. It is now possible to disable filters on all your iframes (see "New configuration options" below).
   
   

Sort

It is now possible to sort the order that animals in the iframe are listed in. The default of Longest Stay remains the same as the old iframe, to ensure your long-stay residents get the most exposure.

Search

When a potential adopter already has a specific animal in mind, perhaps one featured on your social media, they will now be able to look up that animal quickly on your website.

New Animal Profile Design

In addition to all the exciting updates in the main iframe view, the individual animal profile has been updated with a modern, elevated design. Photos are highlighted at the top with multiple viewing options, attributes are displayed as flag icons, and some other new features are described below.

 

Social sharing

Each animal's profile can now be easily shared with friends, family, and followers in the following ways to increase their exposure.

• Email
• Facebook
• Twitter
• Pinterest
• Copy link, which you can use to paste a link to that animal's profile into almost anywhere, emails or otherwise
  
  

Buttons

A new "Back" button has been added to the top of the profile to go back to the main iframe view.

The "Apply for Adoption" button can now be hidden for organizations who do not accept applications (see "New configuration options" below).

 

Optimized for Mobile

This new iframe design has been optimized to ensure a great experience for mobile users.

 

Switching to the New Iframe Design

Ready to give your website's iframe a facelift? Just go to Configuration > Uploads and Integrations > My Organization's Website to generate the new code today!

Pro Tip: Don't forget that you can also create custom iframes for more specific segmentation of your animals - see Uploading animals to your own website for more info.

New configuration options

1. Enable filters on all iframes - Uncheck this box to disable the filters, sort, and search options on your iframes.
   
   
2. Enable "Apply to Adopt" buttons on all iframes - Uncheck this box to disable the application button for adoptable animals. This is helpful if your organization does not use applications in your adoption model or if you need to temporarily disable them due to high volume.
   
   

Legacy design

All existing iframes on your website will have the legacy design until you generate new code in Configuration or under My Saved Reports (for custom iframes). Going forward, all new iframes generated will be in the new design.

Field Services Memo Templates

Memo templates are now available in the Field Services module! This is an exciting feature that will save you time and ensure that everyone can easily enter complete memos in a prescribed format.

Under the Memos section, you will now see a new tab called Memo Templates, where you can create, edit, and delete your templates.

Once they are set up, you will be able to select a default template for each memo template, if desired.

When creating a memo, after a memo type is selected, the corresponding default memo template will populate automatically. Additionally, any template can be manually added to a memo, even without being set as a default template.

New Field Services Tracking Types

The following activity types have been added to our global list to assist in better tracking your community programs:

• Community Services - Medical / General Grooming
• Community Services - Other / Fencing Assistance

Auto-Upload to Multiple Petfinder, Adopt-a-Pet, or RescueGroups Accounts

If you have multiple locations or foster homes spread out across different regions, you may want to be able to set up multiple aggregator accounts and upload animals to a certain account. You can do this in Shelterluv by configuring separate "Upload Sites" in Configuration > General Shelter > Uploads and Integrations > Aggregators of Adoptable Animals.

Configuration

Every Shelterluv account will start with a "Primary Site." You can decide which of your aggregator accounts will correspond to the primary site. Each publishable animal will be associated with the primary site by default to start - see the "Animal Records" section below for how to edit this on each animal record. 

To start, you can re-name the default "Primary Site" with the name of the aggregator account that it will refer to by clicking on "Set Nickname."

Then you can add an additional Upload Site that corresponds to each of your aggregator accounts. You can name them in a way that will make sense to your staff when they're selecting which animals should be uploaded to which account.

When you add additional Upload Sites, you'll see that an additional set of credentials are displayed for configuring for Petfinder, Adopt-a-Pet and RescueGroups. In order to enable uploads for each individual account, you'll need to set each to "enabled" and save credentials for each separately. 

 

Animal Records

Once you have your accounts set up as "Upload Sites" in Configuration, you can select the upload site that you would like each animal to be uploaded to. From each animal record, you'll find a new subtab called "Aggregator Uploads" under the Processing tab. 

The default for every animal will be the "Primary Site" to start. You can edit this by clicking on the field and choosing the correct site from the drop-down. That animal will be uploaded to that particular aggregator account. 

Medical

The Pathology: Animal-Animal quick report is working as expected again. This report is designed to help you track exposure to disease or parasites in your population by showing you animals that were co-located during a selected period.

Document Delivery at Checkout

At the very end of the checkout process where you choose to email and/or print related documents for your client, you'll now see that you can quickly and easily select and unselect all the documents at once for printing and/or emailing using the "Select All" checkboxes at the very top. The "Don't Bother" option has been removed - instead, you can either uncheck the print/email box for a certain document or you can use the checkbox at the very top to uncheck for all documents at once.

 

 

Partners & Transfers

All treatments have been updated to populate under the expected columns of the transport list spreadsheet.

The edit option on partner profiles has been removed to ensure that the global database of Shelterluv organizations stays accurate. For assistance in updating a partner's name or address, please email our support team.

The transfer outcome form has been updated to properly complete transfers of multiple animals to other organizations using Shelterluv.

Transactional Emails

The language of all transactional emails sent to your adopters and customers has been updated in an effort to prevent them from being blocked by spam filters. This includes documents sent at the end of the checkout process, in addition to any documents or attachments sent from an individual animal or person record.

 

Intakes & Outcomes

The sort on all tabs on partner pages have been updated to display the most recent events first, making it easier to find the animals you need to take action on.

The transport list is populating all heartworm test details again, as expected.

An issue with completing service outcomes has been resolved.

 

Reporting

The Donations Taken quick report is populating all donor addresses again, as expected.

 

Record Management

The process of deleting a pre-intake from Record Management has been updated to retain previous events on an animal record.

 

Animal Record

An issue involving kennel card formatting has been resolved.

An issue with certain species being tied to unexpected breeds has been resolved.

 

Tasks

Treatments that have the next dose scheduled for a later date will no longer show up in Tasks until that scheduled date.

All vaccines that were previously listed under the manufacturer Boehringer Ingelheim have been updated to be under the manufacturer Elanco (which purchased Boehringer Ingelheim's vaccines businesses in 2017). 

Treatment tasks will not complete, as expected, when they are deselected from "Select All."

 

Reporting

The Excel export on the Custom Entities Animal Report has been updated to format the following fields as numbers instead of text: Days In Custody, Days On Site, and Days Available.

 

Animal Movements

Additional checks have been put in place to ensure statuses are updated properly during foster movements.

NEW: Field Services Text Notifications

Officers and other teammates in the field can now receive text notifications when they are assigned a new case or activity in Field Services!

3 easy steps to enable this feature

1. Click on your name in the top right corner of the Field Services screen and navigate to the Users page (only available if you have the "Can edit configuration" permission)
2. Select the "Receive text notifications" checkbox for each officer/teammate who opts in to receiving texts
3. Enter a cell phone number and click "Save"
   

That's it! Users who opt in will receive a text notification every time they are assigned a new case or activity by another user. (Note: Notifications are not sent when a user assigns a case or activity to themselves.)

NEW: Jurisdiction Tracking for Intake Events

A new Jurisdiction field is now available for all intake forms to help you easily track where your animals are coming from! Just follow the steps below to enable this new feature for your team. We have also included important information on making this transition if you are currently using other fields to track jurisdiction. If you have any questions or need help getting started, please reach out to us at help@shelterluv.com.

 

 

Step 1: Set up your jurisdictions

You can add, edit, and delete jurisdictions under Configuration > General Shelter > Intake and Outcome > Jurisdictions. They will be displayed on intake forms in the same order they were added.

Note: If you are using the Field Services module, the jurisdiction list there is separate and you will still need to configure your jurisdiction list on the Shelterluv side. (This is because the jurisdictions covered by your field officers may be different from the jurisdictions that you accept intakes from.)

 

 

Step 2: Enable on intake forms

For each intake type that you need to track jurisdiction for, you can enable this field under Configuration > General Shelter > Intake and Outcome > Intake Forms. It is hidden by default so you will need to make it visible; you can also make it a mandatory field and drag it to a new spot on the intake form. (By default it is at the bottom of the "Intake Information" section for most forms; on the Feral/Wildlife intake form, it is at the bottom of the "Biology" section.)

 

Step 3: Transition to using the new field

IMPORTANT - if you currently use subtypes or attributes to track jurisdiction, please read this before editing/deleting those subtypes or attributes

 

Make the change at the beginning of the month:

To ensure clean reporting, we recommend that you continue to use your current method of tracking intake jurisdictions (whether that's through an attribute, subtype, or something else) until this Friday, July 31st, and then switch to using the new Jurisdiction field exclusively starting Saturday, August 1st. (Of course if you need more time to make the transition, you can wait until the end of August to do so.)

 

If you are currently using attributes to track jurisdictions:

• If you need the attribute for any reason aside from tracking intake jurisdictions, do not delete it. Deleting an animal or person attribute will remove it completely from all animals/people who have that attribute, which means it will no longer show up in reporting either. 
• If you do plan to delete jurisdiction attributes:
  • On or after August 1st, please pull all the custom events intake/outcome reports you need up to July 31st and store them somewhere safe and accessible to all team members who will need them. Be sure to include the attribute field(s) as columns. 
  • Clean up your attributes (as needed) in Configuration after you have saved all the necessary reports.

If you are currently using subtypes to track jurisdictions:

• On or after August 1st, please pull all the intake/outcome reports you need up to July 31st and store them somewhere safe and accessible to all team members who will need them.
• Editing or deleting subtypes does not retroactively change any reporting; however, once a subtype is no longer configured, you will not be able to use it as a rule on custom events intake/outcome reports.
• Clean up your subtypes (as needed) in Configuration after you have saved all the necessary reports.
  
  

Reporting updates

"Jurisdiction" has been added as a new rule and column on the Custom Events Intake and Custom Events Outcome reports.

 

Adding to past events (including outcomes)

You are able to add/edit jurisdictions to both past intake and outcome events directly on the animal record (as long as the animal's last event was not a transfer outcome).

1. Navigate to History > Visits
2. Put the record into Edit Mode
3. Click on the Jurisdiction field to update it to a new value

Note: We do not recommend trying to manually update this for all past intakes and outcomes; instead please see Step 3 above for tips on making the transition and using past reports for historical data.

Field Services

"Trap Rental" has been added as an activity subtype under "Community Cat Program" that you can enable through the Configuration page. Use this new subtype to keep track of traps you lend to community members. Pro tip: Add a due date to the activity so you remember when to follow up!

Applications

The state field on all applications has been changed from an open text field to a dropdown field for better consistency in address data. An option for "Other" is included on this list for applicants outside of the United States and Canada.

The address search option has been removed from all applications due to the frequency of incomplete addresses being selected by applicants. (This functionality still exists for creating people records internally.)

 

Field Services

The following configuration options have been added to our global list:

• Surrendered - new case resolution
• Dangerous dog - new violation type

Additionally, the created_at timestamp is populating onto newly created tasks as expected again.

Custom Reports

Caching on custom reports has been reduced from 12 hours to 10 minutes. This means, if you are running the exact same custom report twice (same date range, rules, columns), you only need to make sure 10 minutes has elapsed before retrieving an updated set of data.

Additionally, exporting larger reports to Excel or PDF is working as expected again, and blank cells causing data to shift has been resolved as well.

 

Service Intakes

Service intakes will now display on the animal record's History > Caretaker tab, and the corresponding Service Out button will now display on the intake person's Animals tab in all scenarios.

 

Adoption Holds

A few updates have been made to ensure animals who have been put into an adoption hold more than once have their statuses updated and holds released correctly.

Adopt-a-Pet

The frequency of auto-uploads to Adopt-a-Pet have been increased from once a day to every 8 hours. This will help keep your listings more up-to-date as new animals become available and other animals are adopted.

 

Iframe

The iframe is now better optimized for mobile and displays animals in two columns instead of one!

 

Application Manager

Updates have been applied to the status buttons in the Application Manager to ensure they work properly on all devices again.

 

Main Dashboard

The Location column now sorts and groups foster parents by name.

Additionally, a few small updates were made to ensure the dashboard works as expected when filters are engaged and when using the "Add" button from the Partners tab.

 

Configuration

Connecting Google Calendar and adding partners in Configuration are both working as expected again.

 

Documents

The system-generated memos document is now correctly displaying the most recent memos on top.

Main Dashboard Updates

The main Animals, People, and Partners tabs have been updated to function a little more flexibly and efficiently.

1. You can now sort the table before loading all records! When you click on a column header to sort the table using that column, the table will sort ALL records on that tab, even those that haven't been loaded yet. 
2. The initial load, and scrolling down to load more records, will now return 200 records at a time on the Animals tab, compared to 20 records at a time previously. Additionally, the Partners tab will now load 50 records at a time.
3. You can click anywhere on a row to open that particular animal, person, or partner record. The record will now open in a new tab so that you don't lose any sorting or filtering that you have engaged on the main page.

 

More Data for Petfinder Auto-Uploads

More than ever, potential adopters are searching for their next pet online, and of course the more information they can find about each pet, the better. We are now pushing more data out of Shelterluv and into Petfinder for you automatically. This new information includes:

• 3 additional photos (now 6 total)
• All attributes on the animal record that are configured to Publish=Yes
  • Note: These are separate from the attributes Petfinder uses for their filters and instead display under the About > Characteristics section of each pet's listing.
• Primary color / secondary color
• Date of birth (private field on Petfinder, not shown to public)
• Arrival date (most recent intake date, private field on Petfinder, not shown to public)

Litters

Animals will now be correctly placed into the litter when they are added through the "Add Existing" function, regardless of which animal record the user starts on.

 

Documents

Foster Returns

The foster return form has been updated with a new "Apply this form to all foster animals being returned" checkbox when multiple animals are being returned. When all the return details (date returned, location, status, etc. ) are the same, this will eliminate the need to fill out a separate form for each animal and save you a lot of time!

 

Adopt-a-Pet

All three versions of "Mixed Breed" have been updated to map properly in Adopt-a-Pet.

 

iframe

The announcements/help center icon in the bottom right corner has been removed from the application page in iframes to reduce confusion for applicants.

 

Configuration

Editing the "Normal" and "Not Examined" physical exam templates in configuration is working as expected again.

Editing intake, outcome & foster dates

You can now edit the dates (i.e. backdate) for intakes, outcomes, and foster events after they have been processed. We hope backdating events can help give you more accuracy and flexibility in your data entry process.

Important note on transactions

Previously, for intakes and outcomes that involved a transaction (e.g. adoptions), the intake/outcome date and the transaction date were tied very closely together, one with the other. However, editing transaction dates along with intake/outcome dates would be very problematic for your organization, opening you up to the risk of theft. So instead, we've now separated the transaction date from the intake/outcome date. The intake/outcome date can be edited. The associated transaction date cannot be edited - it will remain the date that the transaction was processed. This is especially important information for your accountant to know.

 

Shopping Cart

The checkout process has been updated to display the following message for non-Stripe credit card transactions; this will make it clear to users that they still need to swipe the card externally.

"The information entered on this screen is for reporting only. Shelterluv is not charging this card. It must also be swiped through an external credit card reader."

 

Field Services

The following configuration options have been added to our global list:

• Surrendered - new activity resolution
• Transfer - new activity subtype under Community Cat Program

Foster Applications - now with signatures!

All foster applications now capture a signature from the applicant, which will display in the Application Manager as well as on a new system-generated document on the person record. This will be helpful for organizations that need a written agreement in place for their foster parents. Learn more here: How do I configure my foster agreement or contract?

Note: Only new applications will capture a signature, so you will not see them on applications submitted before today. If you need a signature from someone who previously submitted an application, please ask them to submit a new one.

 

Adoption Disclaimers

• Line breaks are now supported both in the digital signature / mobile checkout process and in the generated documents, making longer disclaimers with multiple paragraphs easier to read.
• The system-generated Disclaimers document now includes your organization's name and contact information at the top.
• When an animal is adopted, the signed version of the disclaimers document will also include the adopter's name and contact information.

 

Applications

• Applications, including those launched within an iframe, will now automatically scroll back up to the top when applicants reach the page with your organization's configured questions.
• Messaging has been updated to be more clear in the email verification process when an applicant's email is found in your system.

 

Field Services

"Community Meeting" has been added as a new activity type to track attendance of neighborhood meetings such as neighborhood watch, HOA, etc. for building relationships in the community.

 

Medical

MonoWeb has been added a new suture type on the detailed surgery form.

 

Attachments

Uploading attachments to animal and people records is working as expected again. This issue was introduced with the latest version of Chrome and only affected users who had this version installed.

We've made the Application Manager more flexible!

All applications on the Accepted, Rejected, and Archived tabs can now be moved seamlessly between these three statuses! After seeing online applications increase threefold since the beginning of COVID-19 closures, we wanted to make processing applications easier and more flexible for your team.

Here is an example from the Archived tab, where you will now see new options to accept or reject the application.

A few things to note:

• If the application is not yet attached to a person record, you will see an option to create a person record in an expanded menu on the button.
• If the application is being moved to Accepted or Rejected, you will still have the option to email the applicant.

 

Reporting

A new report for "Cases Created" has been added to the list of available reports in the Field Services module.

The Custom Events Intake report has been updated to:

• Return the correct intake partner contact information regardless of the subsequent outcome
• Return the Found Address on all stray intakes as expected

 

Foster

The foster return form has been updated to prevent future return dates from being accidentally selected.

 

Configuration

The Application Accepted and Application Rejected email templates for Foster and Owner Surrender are saving as expected again in Configuration.

NEW! Donation Boost Widget 

The donation boost functionality in mobile checkout has been working so well for our customers (over $1.2 million raised so far!) that we wanted to allow you to use it anywhere you like! The new donation boost widget allows you to accept and process donations via a simple URL link, completely separate from a shopping cart in Shelterluv. Your organization will be given a special URL link that you can place anywhere you think current and new donors might use it - behind a button on your website, linked from your email signature, shared on social media, and any other creative place you have in mind. Watch the video below to see how it all works!

People Records

These donations will be tied directly and automatically into your Shelterluv people records. The system will look at the phone number and email that the donor provides, find the matching person record (if there is one), and add the donation to that person's record. If it doesn't find a match, a new person record will be automatically created in your account with all of the contact information that they entered for the donation transaction.

Reporting

In your accounting reporting, these donations will be included with "Shelterluv Online Donation" as the item name to distinguish them from your other transactions.

Stripe Setup

The donation boost widget uses the same Stripe account that you have setup for mobile checkout. No extra setup is needed. If you aren't yet using Stripe but would like to get it enabled in your account so you can use this new feature, please email us at help@shelterluv.com.

 

Field Services

The following case subtypes have been added:

Automated application confirmation emails

Applicants can now receive a confirmation email upon submitting an adoption, foster, or owner surrender application. The email will include a message from your team, a copy of their completed application, and the disclaimer text that they agreed to.

To enable these confirmation emails (full step-by-step instructions with screenshots available here):

1. Go to Configuration > General Shelter > Email Templates
2. You will see new options for "Application Received" in the dropdown under each application type, with separate configurations for Dog / Cat / Other
3. Click the "Enabled" checkbox to turn it on
4. Fill in the configurable fields:
   • "Reply To" is the email address you would like applicants to use if they have follow-up questions (only one email address can be entered here)
   • "Email Subject" and "Email Body" are to communicate your policies, if/when the applicant should expect to hear back from you, and any other information they should know about the application process
5. Click "Save Email Template"

 

Aggregators of adoptable animals

All auto-uploads to Petfinder, Adopt-a-Pet, and RescueGroups now support line breaks, which means paragraphs in the Kennel Card / Web Site Memo will now be clearly separated on these sites and will be easier to read!

 

Photos

Adding photos to animal records are working as expected again. Previously, some users had issues with the photo not rotating correctly.

 

Configuration

A new "Onboarding & Billing" section has been added to the top of the General Shelter configuration tab. For organizations new to Shelterluv, this will help you more easily find the resources we provide in our initial welcome email. For all organizations, this will help you more easily locate your billing module.

 

Field Services

The following have been added as new case resolution types:

• Notice mailed/emailed
• Dead on arrival
• Transport completed
• Trap set
• Vet quarantine initiated

"Archived" has been added as a new activity resolution type; it can be used for duplicate records or other records that you want to keep but do not have a real resolution. It is disabled by default but can be enabled through your Field Services configuration page.

Petfinder Auto-Uploads

Petfinder auto-uploads will now run once per hour, a significant increase from the previous interval of once per day. This will keep your listings up-to-date throughout the day as new animals become available and other animals are adopted.

Donation Boost Language

The donation boost page of all mobile checkouts has been updated to highlight the current operational challenges of COVID-19:

 

 

Since making these updates, nearly 40% of adopters are now making a donation, a 28% increase from before. The average donation amount has increased by $5, an 18% increase.

Special Offers

Adopters now receive a $15 off Chewy.com coupon during mobile checkout! Shelterluv’s large customer base allows us to negotiate better discounts than individual organizations are able to get. We hope this additional $15 in your adopter’s wallet will encourage them to buy the products they need to get off to a great start with their new pet as well as give more generously to you.

Adopters choose whether they want to receive this coupon at checkout. If they select yes, the coupon is sent via email after the adoption checkout. Shelterluv does not share any adopter information with Chewy.com.

Tasks

• Current foster parents will now be displayed in the "Location" column of treatment tasks so you can more easily manage medications of animals in foster. Clicking on the foster parent's name will open their record in a new tab.

 

Applications

• Messaging to applicants who already have an existing Shelterluv record has been updated to provide better guidance on how to best complete their application.
• Applicants who have their phone number on multiple records will no longer be blocked if they complete the email verification step.
• Applicants who are missing an address on their existing person record will no longer receive an error message while attempting to submit a new application.
• Application emails with more than one recipient are being sent as expected again.
• When sending application acceptance or rejection emails in the Application Manager, you can now use either a comma or a semicolon to include additional recipient email addresses.

 

Aggregators

• YouTube videos (up to one per published animal) will now be exported to Adopt-a-Pet through the daily auto-upload.
• A small change to Petfinder auto-uploads was made to keep your listings more up-to-date.

 

New Help Center Layout!

The Shelterluv Help Center is now easier to navigate so you can find the resources you need quickly. It has been revamped with:

• Updated categories based on functionality or process
• Consolidated card design to reduce scrolling
• Sections for promoted articles and new articles
• More reliable search results

This great resource is where you can ask questions or submit a request to our support team. We have an extensive set of available help articles answering commonly asked questions, explaining different features, and walking you through different workflows in Shelterluv. Documents

• Adoption disclaimer documents will now retain the date and text at the time of signature.
• Adoption contracts for species like rabbits have been updated to correctly display the configured contract in the mobile checkout flow.

 

Shopping Cart

• The final payment page for cash/check transactions has been updated so that the payment type dropdown will work on all mobile devices.
• The connection between Stripe and Shelterluv has been optimized to ensure mobile checkouts will always complete as expected and without any discrepancies.
• A small update was made to keep discounts separate when multiple users are using the same person record to check out, for example with anonymous/generic person records.

 

Field Services

• New filters for Task Types & Subtypes have been added to the bottom of the left-hand filter menu.
• Canadian addresses are now supported when creating activities/cases and people records.
• "Released for rehabilitation" has been added as a new case resolution option.

 

Miscellaneous

• Additional checks have been put in place to prevent animals from being accidentally updated to the wrong status type when the same record is left open on multiple tabs or multiple computers.
• The page for creating a new person has been updated to properly check for duplicate records.
• Locations and statuses without animals currently in them should be able to to be deleted from Configuration without any issues again.

Field Services

Permissions Update

Users without the "Field Services Access" permission on their user account will no longer see the "Field Services" option on their main Shelterluv gear menu.

 

New Default View

The default view when you first log into Field Services has been updated to make it easier to see the activities and cases that are important to you without having to toggle additional filters. You will now see tasks that are:

• Assigned to Everyone
• Have a status of New or Open
• Due anytime (instead of due today)
• Sorted by Last Created

 

Related Activity/Case Workflow Updates

Creating a related activity or case has been optimized for faster data entry!

• Start from the "Quick Add" menu or the "Other Important Details" section of the detailed view
• The pop-up will give you an option to create a new activity or case, which will automatically pre-fill the following fields from original activity or case:
  • Priority
  • Location
  • Assigned To
  • Incident Date
  • Zone
  • Jurisdiction
  • Related Case/Activity
• The other option on the pop-up will allow you to add existing activities or cases, if they had previously been created but not linked

We have been working hard to improve loading time, which is how quickly each page loads for you to be able to use it. The updates are ongoing, but we've already seen a sharp decrease in the average loading time per page across the site. We hope you're noticing the difference!

Enhanced Print Multiple

Print Multiple has been expanded to include a few other system-generated document types! Aside from the Kennel Card, you can now also use this feature to print the Complete Medical History and Rabies Vaccine documents in bulk.

After clicking the printer icon, you will see a pop-up with checkboxes for the available document types. Once you click "Apply," each document type will launch in a new browser tab.

If any of the selected animals do not have a rabies vaccine on file, they will be listed on a separate page before the normal rabies certificates.

Note: Your browser's pop-up blocker may block the new document types from launching in new tabs; if that happens, just look for the notification for that and click it to always allow pop-ups from Shelterluv.

 

Field Services

Search

The search bar has been updated to search all of your activities and cases by default. Alternatively, you can click the "Filter Results" checkbox on the right to only search within your currently engaged filters.

Count of Displayed Activities & Cases

Directly under the search bar, you will now see the count of activities and cases in your current view (based on filters and search).

Tab Navigation

The different sections of the detailed activity/case view have been organized into separate tabs to reduce scrolling and make it easier for you to find what you need.

Incident Date

For easier reference, the "Incident Date" and how long ago it occurred have been added directly below the title.

Status

The activity/case status is now more prominently featured in the detailed view. You'll be able to click on this new button in the top right corner to update the status.

Additionally, if you make edits while the status is still "New," you will be prompted to change the status to "Open."

 

Transport List

The columns on the transport list have been updated to exactly match the ASPCA transport manifest template. This includes a new column for "Health Cert Date" for you to fill in directly in Excel.

Field Services

We've made quite a few navigation-related updates to Field Services with the help of your feedback!

Filters

• All filters now live in their own menu on the left side of the screen. This should help make the filters faster and easier to use! This menu can be hidden using the arrow icon. 
• All activities and cases now display on one single tab, instead of being split across two tabs. You can quickly filter to the activities/cases assigned to you or a specific officer using the new filter menu. 
• New filters have been added for jurisdictions and zones.
• A new order option has been added for "Last Created." The most recently created activities and cases will display first with this option.
• The "Newest" and "Oldest" order options have been updated to use the incident date field (instead of the activity/case creation date). 

 

Animal/People Search

You'll now see a new tab called "Records." This is where you can search for your people and animal records. 

• This will search ALL of your animal and people records in your main Shelterluv account.
• As a shortcut, you'll see the people and animal records that have most recently been associated with activities and cases under "Recent Records."

 

Other Updates

• Clicking on an activity or case "card" will now open that activity/case in a new tab on your browser, so that you don't lose the screen you're already on (and the filters you have engaged). 
• New and existing users who are given the "Field Services Access" permission will automatically become users in Field Services as well.
• NTC Ticket # has been added as a Reference Number type.

 

Custom Reports

• Donation-only transactions will now be correctly included as part of the accounting custom report (and also in Record Management). 
• "Transfer To" column will now return values correctly in the outcome custom report and the intake (not counting toward intake numbers) custom report. 
• The procedures and surgeries custom report will now return results correctly when multiple rules are used in the report.
• People addresses will display correctly in all cases in the accounting custom report and Licenses Issued quick report. 

 

Shelter Animals Count Report

The beginning and end counts of the Shelter Animals Count Quick Report are now being calculated correctly across all date ranges.

 

Shopping Cart

When applying item-level discounts, the system will now take into account the total price of items based on quantity.

 

Donation Boost via mobile checkout

For our customers focused on animals other than dogs and cats, we now have more generic donation descriptions to use with the Donation Boost feature in the mobile checkout. If you'd like to use this version, please let us know by emailing help@shelterluv.com.

 

Attributes & Diagnoses

Your configured lists of attributes and diagnoses have been updated to display in alphabetical order.

After you click into an existing case or activity, you can now more quickly add attachments, memos, and reference numbers to that case or activity using the red plus sign icon in the top right corner of the screen.

 

Displaying owners of animals

After an animal has been added to a case or activity, you'll now see those selected animals' associated people on the following screen for easy selection if desired, in a section labeled "People from associated animals."

 

Streamlined login

After selecting Field Services from your Shelterluv gear menu, you will now be brought directly to your Field Services dashboard instead of being routed through the landing page.

 

"Incident Date" added to reports and PDFs

The newly introduced "Incident Date" field can now be found in all reports and case/activity PDFs.

 

Time zones

The Field Services product will now recognize your time zone based on your organization's address from your main Shelterluv Configuration. Your local time will be displayed everywhere time/date is already displayed.

Canadian addresses and payments

We have made two updates to support Canadian usage for shelters, rescues and individual people addresses.

• We have enabled all address fields to accept Canadian addresses.
• For Canadian organizations, Stripe can now accept payments in CAD.

Litters

You can now remove animals from litters. From the litter view page, just select the animal(s) that were mistakenly added and click the "Remove from this litter" button.

 

Medical

The Complete Medical History document has been updated to include all microchips that have been added to the animal record.

IC (Intracardiac) has been added as a new fixed route for euthanasia outcomes.

 

Shelter Animals Count report

The age categories of the Shelter Animals Count report have been updated so that the "Up to 5 Months" age category includes all animals that are 4 months, 31 days old or younger. Animals that are 5 months old or older will be included in the "Adult" column.

 

Field Services

You'll now see a dedicated "Field Services Access" permission on the Users page in your main Shelterluv account. Giving users this permission will give them access to the Field Services product from the gear menu in their main Shelterluv account.

A new Field Services activity type of "Community Cat Program" has been added with the following subtypes:

• Trap
• Clinic Drop-Off
• Clinic Pick-Up
• Release

"Colony Caretaker" has been added as a new Field Services role for associated people, especially for those with TNR programs.

Mobile Access

You asked, we listened. You can now access the full desktop version of Shelterluv from the browser of any mobile phone! Many of you have let us know that the previous mobile functionality was too limited; we removed this bottleneck so you can do everything you need to on-the-go. We're very excited about this change because it means you can easily process adoptions at offsite events now that you can use any device to do so!

 

Reporting

The Custom Events Intake Report's backend code has been optimized to run much more quickly.

The Euthanasia Details Quick Report now returns data for all columns as expected.

 

API

The "total_count" field in the events endpoint now returns a numeric result as expected.

Animal Attributes

You can now add up to 20 attributes on an animal record! Previously the limit was 10 attributes per animal record.

Plus, attributes should now be much easier to use from both:

• the main Animals tab attributes filter
• custom reports, when using Attributes as a rule

In these two places, the attributes list is now organized by animal type. For example, all of your dog attributes are now grouped together under a new "Dog" heading, all of your cat attributes are grouped together under a new "Cat" heading, and so on. 

 

Aggregator Uploads (Petfinder, Adopt-a-Pet, Rescuegroups)

The dog size group translations have been updated for all three aggregators to the following:

• Small = equal to or less than 25 lbs
• Medium = 25 to 60 lbs
• Large = 60 to 100 lbs
• Extra Large = greater than 100 lbs

These translations match the size group recommendations given by Petfinder. These translations will use the most recent weight entered on the animal's record. If no weight is entered on the animal record, the animal will be uploaded with size group "small."

 

Microchip Auto-Uploads

For pre-intake animals with microchips already saved on their records, those microchips will be included in registry uploads once the intake is completed. The uploads will not include those chips when the pre-intake record is first created (before the animal is considered in your custody). 

 

Reporting

"Internal ID (API)" has been added as a new customizable column to both the animal and people entity custom reports. This internal ID number will match the ID found in the responses of both the animals and people API endpoints.

Note: this internal ID number is a different number entirely from the main animal and people Shelterluv IDs (e.g. ABC-A-123 or ABC-P-234).

Complete Medical History Document

Animals' current weight has been added to the top of the Complete Medical History document, as part of the other basic animal information. 

 

Intakes / Outcomes 

For owner surrender intakes and return to owner outcomes, digital contracts will now display correctly for no charge checkouts (no matter what type of payment method you're using).

Also, owner surrender intakes that were intaked directly into foster can now be deleted as expected via Record Management.

 

Reporting

A new rule and column have been added to the animal entities custom report for "Status Added By." This new rule/column will work with the existing "Current Status" column to return the username of the person who updated the animal to its current status.

 

Iframes

Custom iframes set to "always run this report as of today" should now display all of your currently available animals as expected.

 

Search

Searching for microchips will now include ALL microchips on animals' records in the search. Previously it looked only at the most recent microchip on animal records.

 

Onboarding / Configuration updates 

Both the Onboarding and Configuration pages have been updated to give our newer users more guidance and context in getting their accounts set up and running. We hope this helps streamline the onboarding process! As always, please email us at help@shelterluv.com if you still have any configuration-related questions. 

Onboarding

The Onboarding page (https://www.shelterluv.com/shelter-onboard) has been simplified to include ONLY:

• the existing "Ordering and Terms" section, where you enter your credit card information, start Stripe setup, etc.
• a new "Configuration & Users" section, which will link directly to:
  • the main Configuration page, where you can complete your account's configuration
  • the main Users page, where you can add new users and manage existing users' permissions
• the existing "Billing" section, where you can see your billing history

Configuration

Star icons now indicate the most important sections of Configuration to focus on first as a new customer. These are the basic, most crucial aspects of your account to get set up for your organization's needs first before doing anything else. 

We've also added new details in each section to help explain what that section is for and what might be important to know about it. These descriptions also include links to relevant help articles that will help guide you in configuring that particular section.

New Feature: Transport Lists

We have added brand new functionality to help you quickly and efficiently generate a list of animals to be included in a transport, with each animal's important medical and behavioral details filled in for you from their Shelterluv record. If you were previously filling out a transport manifest spreadsheet manually, this new functionality should save you many hours of work!

The format of the transport list has been built to include all the key details needed for the ASPCA's transport manifest template. This list will pre-fill all the columns of the template for you from the animal's record, including basic animal details, behavior assessments, specific vaccines, specific diagnostic tests, microchip number, and more. 

The process is as easy as selecting the animals you'd like to include on the list and clicking "Generate Report."

New treatment frequency

A new treatment frequency has been added for Q5D (every 5 days).

 

Accepting transfers from other Shelterluv customers

When accepting transfers from other Shelterluv customers, ALL in-custody statuses will display as options to choose from. Previously, the in-custody statuses that were configured as "on-site=no" were excluded from the list.

Transfer Intakes

When accepting transfer intakes from a partner that is also using Shelterluv, you will now be able to intake those animals directly into foster. You'll now see the "Intake Into" field on the transfer acceptance form, which you can use to select either "Foster" or "Shelter," just like you can do on the full intake forms.

 

Service Outcomes

If your service intakes are updated to be with a foster parent, you will now still be able to process a service outcome for those animals like normal. 

 

Spay/Neuter Certificates

Spay/neuter certificates will now display the clinic's phone number correctly. 

 

Reporting

The Foster Outcome quick report will now return ALL outcome types, instead of being limited to adoption outcomes only.

 

API

A "from" parameter has been added to the people endpoint. When paired with the "type=adopter" parameter, the "from" parameter can be used specifically to return people who have adopted on or after a given date and time (using a Unix timestamp).

"Reply-to" on submitted application email alerts

If you are using the email alert option for submitted applications, the "reply-to" address on these emails will now be the email the applicant used to complete the application. This means you can simply hit "reply" on the email and respond right to the applicant. Previously, the "reply-to" email address was a Shelterluv email.

Return to Owner Subtypes

When you process a Return to Owner (RTO) outcome, you'll now see your RTO subtypes (if you have any configured) to choose from when you click the green "Return to Owner" button.

Pre-Intakes

When a pre-intake is completed, the animal's intake subtype will now display properly on both the animal record and in reporting. 

 

Licenses

When adding a license to an animal record, the "Vaccinated By" field will now correctly display the value that corresponds to the "Vaccinated By" information on the selected rabies vaccine.

 

iFrames

The iframes will now all display breed and sex values correctly in both desktop and mobile view.

 

API update

"Last Updated" timestamp has been added to the animals API response. Learn more about the API here.

Transfer Outcomes

When processing many transfer outcomes to the same partner at once, you can now use just one transfer outcome form for ALL animals that are part of that transfer. This should help make the transfer outcome process significantly faster, especially for those who do very big transfers. Here's some more detail on how this works:

Select all the animals you'd like to transfer out together, just like you've always done.

 

After clicking the gray "Complete Transfer" button, go ahead and complete the transfer form. At the very bottom of the form, check the box beside "Apply this form to all animals in this transfer group." Selecting this option will apply all of the information from your completed form to every single animal that you've selected for that transfer group. Just this one form and you're done!

 

Foster Person Records

The "Foster (Active)" attribute has been updated so that it will be automatically removed when a person no longer has any foster animals in their care, as expected.

With our large customer base, Shelterluv is uniquely positioned to negotiate better discounts than individual organizations would be able to get, so we're using that advantage to share special offers for products and services for your adopters.

The special offer currently included is:

• A free Chewy.com coupon to pet owners in the Stripe checkout flow for 30% off their first autoship order (we do not automatically share the adopter's info with Chewy.com).

• 

This special offer will be sent out automatically to adopters after checkout in a separate email (there may be 1-5 minute delay).

Reporting 

Intake custom report:

• "Original Source," "Transfer From," and "Transfer To" columns will now display partner values correctly.
• Using "Attributes" as a rule on the report will now return values correctly.

• Using "Intake Type" as a rule will now return values correctly.

 

Person Records for Fosters

Returning a foster animal from a foster parent to the shelter will no longer cause any changes to that foster parent's existing attributes.

Introducing the Shelter Animals Count report download

No more manual entry for your Shelter Animals Count reporting! You may have already heard that Shelter Animals Count has introduced an import tool for bulk uploading your monthly reporting numbers. As part of their roll-out of this new tool, we've added a new download option for the Shelter Animals Count report. The downloaded file is custom-formatted so that you don't have to make any changes to it before uploading to Shelter Animals Count.

Your monthly reporting process to Shelter Animals Count will now be this simple:

1. In Shelterluv, run the Shelter Animals Count report for the month.
2. Download the file using the green "Excel" button.
3. In your Shelter Animals Count account, go to Add/Edit Animal Data > Import Data, and upload the file.

 

And you're done! We hope this helps make your monthly reporting to Shelter Animals Count very quick and easy. 

 

Iframe options without "Apply to Adopt" button

Shelterluv's iframes will now display animals WITHOUT an "Apply to Adopt" button when the animals have a status of "adoptable=no." With this update, the iframe can be a good option on your website to display non-adoptable animals, like stray and lost animals, or for rehoming purposes.

 

Doobert integration

We've partnered with Doobert to make it quick and easy to upload animals from Shelterluv to your Doobert account. The integration process involves Shelterluv's API and a special attribute used to mark animals as transferable. Learn more here.

With our release later this week, we will be introducing an update to our map search field that we wanted to share with you ahead of time so you know what to expect.

Recently, you may have noticed that when you try to search for an address while creating a person record or completing the stray intake form, the search field that integrates with Google Maps hasn't been working normally. Google Maps changed how their integration functionality works, while simultaneously increasing their prices substantially. We will be resolving this by updating to a different provider altogether for the map search. 

With this update, you'll still be able to:

• type the address in the map search field and find the matching address in the auto-returned results
• select the auto-returned result or click the blue "Find" button to auto-complete the field addresses
• view the small map that displays the address with a pin
• bypass the search field altogether and manually complete the address fields, if you prefer

The biggest difference that you might notice is that you may have to type a little more of the address into the search field for the correct result to auto-return for you.

We've been hard at work behind the scenes of Shelterluv, but we've still got a few updates to share with you this week.

 

Incomplete Applications Issue

We know several of you have been having issues with incomplete applications coming in from your adopter and foster applicants. We're very sorry for the inconvenience and frustration this has caused you. It was a particularly difficult bug to find and solve, as it was happening only intermittently and mostly (but not exclusively) when the application was submitted on Internet Explorer browsers. We've released an update that we think will resolve these issues. Please do let us know if you continue to see any more incomplete applications come in.

 

Reporting

"Current Status" has been added as a customized column and rule to the intake custom report. This will return the current status of the animal, even for animals in the report that are currently outcomed.

 

Emailing Fosters

When you use the "Filter for Fosters" option on the main People tab, the option to email selected fosters has been restored.

The "Filter for Fosters" can be used to find your fosters that are currently available to foster with available capacity. After you've enabled that filter, you can select the fosters you would like to message using the "Email Selected Fosters" button.

If you're not familiar with the "Filter for Fosters" or with emailing fosters, learn more about both in this help article.

The small "Feedback" button on the right side of your screen has been removed because, unfortunately, it was no longer working correctly through Zendesk (the support platform we use to manage our Shelterluv help inbox).

For example, perhaps you'd like to use the API for both your website and for Maddie's Pet Assistant. You can now create separate API keys for each so that one won't have an impact on the other. 

Please note that the functionality of existing API keys was not impacted by this update. Your existing keys should all continue to work normally.

Transfers between Shelterluv customers

Any new medical information added to an animal's record by the receiving shelter will no longer be visible on the source shelter's view of the animal's record.

 

When accepting a transfer from another Shelterluv customer, you'll now be able to select a transfer in subtype in the same pop-up where you choose a status and location for the newly transferred in animal.

 

Reporting

"Intake Person Attributes" has been added as a new column and rule to the intake custom report.

 

Several new additions have been made to the accounting custom report:

• Age (Y/M/D), which will return the age of the animal associated with the transaction at the time the transaction was completed (added as both a column and rule)
• Cash Drawer (added as rule, already existed as a column)
• Fund / GL Code (added as a rule, already existed as a column)
• Department (added as a rule, already existed as a column)

 

Treatments

Completing the treatment forms by tabbing through all the fields should now be possible. A few of the fields, like frequency, had been having trouble with tabbing.

 

In-progress or completed treatment cards on an animal's record will show you 10 doses at a time by default. You can view more of the previously completed doses (if any) AND more of the future doses (if any) simply by using the "show more previous doses" and "show more future doses" options.

 

Two new dosage options have been added for "pinch" and "dose."

 

Service Intakes/Outcomes with a Partner Organization

When accepting a service intake from another Shelterluv customer, you'll now be able to select:

• the service intake subtype
• the transfer contact person

 

When processing a service outcome to another Shelterluv customer OR to a partner that is not a Shelterluv customer, you'll now be able to select:

• the service outcome subtype
• the transfer contact person

 

Adoption Holds

Adoption holds will now be automatically released correctly when the animal is adopted by someone other than the person who placed the hold.

Summary Reports

Now when you run the Intake and Outcome quick reports, you'll see that they will first give you a summary table of the report. The rows of the report are split by intake types and subtypes. The columns of the report are split by species and age groups of each species. If you'd like to collapse the age groups or subtypes, simply click on that column or row header. If you'd like to view the full list of animals from the report, click on the blue "Show detailed report" button at the bottom of the summary table.

 

 

Transfer Outcomes

When completing a transfer outcome to a partner, you now have the option to email details of those animals to that partner. On the transfer outcome form, you'll now see an option at the very bottom for "Auto-email the documents for all animals in this transfer to the partner organization".  If you check this box and enter an email address for your partner transfer contact, the partner will receive one email for all animals in that particular transfer. 

NOTE: The email field is editable but will pre-fill for you with the email address you have saved for the partner's transfer point of contact.

The email sent to your partner will look something like this:

Each animal's name will link to a page where the partner can download the basic documents for that animal, including their:

• complete medical history
• treatment sheet
• spay/neuter certificate
• rabies certificate

 

Pop-up Memos for Transfer Intakes

In a previous release, we updated how memos displayed on animal records that were transferred between two Shelterluv customers. We have updated this further so that pop-up memos on a transferred in animal will no longer appear as a pop-up for the "receiving" shelter. These memos will now simply display on the animal's Memos tab for your reference. For the "source" shelter, the pop-up memo will still display as a pop-up, just like they originally added it.

 

 

Unassisted Death Outcome

You should now no longer have any issues completing an "unassisted death in custody" outcome on the same day an animal was intaked, whether or not your "Time of Death" field is enabled on your form. If you ARE using the "Time of Death" field, the only restriction here is that the time of death will need to be after the intake time. 

 

Search

Using the shelter ID, microchip number, and previous shelter ID search fields from the main search bar at the top of your screen will now correctly return transferred out animals. After entering the search, simply uncheck the "show in custody animals only" checkbox to see all out of custody animals matching the search criteria.

 

Treatments

All treatments functionality is now correctly tied to the "Prescribe treatments and procedures" permission.

The "route," "frequency," and template name fields have been enhanced further so that you can either:

• scroll to select the value you're looking for
• OR start typing the value you're looking for and select from the returned matches

 

Re-Intaking Animals

The microchip field will now pre-fill correctly for you when you re-intake animals that already have an existing record (and a microchip already on that record).

 

Stray Intake Date

You can now edit the intake date of stray animals from the animal's record. This means you can now edit both the "intake date" and "date found" fields for stray intakes.

Treatments

Completed treatments should no longer display as "next due" on the animal's "Complete Medical History" document. This seemed to be happening when the start date of a treatment was edited and the number of doses of that treatment changed.

The "Route," "Frequency," and "Template Name" fields have been updated from drop-down fields to fields that you can type in and quickly choose from matching results. This should help you even more quickly complete these fields.

The printed version of the treatments Tasks list will now correctly match what you see on your screen.

You can now choose (instead of just typing) a date in the past for the "Last dose date" field. (The only limit here is that the date must be after the treatment start date.)

 

Transfers between Shelterluv customers

When you receive a transfer intake from a shelter or rescue that is also using Shelterluv, any attributes on that record previously will be moved to a memo. 

Now certain types of information on your animal records will NOT be viewable by your transfer partner (who is also using Shelterluv) when you transfer an animal to them, including:

• "private" memo types
• categories
• behavior checks, activities (playgroups), and assessments

Behavior Checks

A few updates have been made to the behavior checks functionality.

1. There is now a "Show Overdue" option on the behavior checks Tasks list, so that you can review your overdue behavior checks.
2. When you complete a behavior check from the Tasks list, you will now be able to easily add additional notes to that completed behavior check and schedule a follow-up behavior check if you would like. 
3. Completed behavior checks on the animal's record will now include a column for "Examined by."

 

Reporting

The Length of Stay report has been updated to exclude intakes and outcomes with subtypes that are set to "count towards intakes/outcome numbers = no". 

The "Foster Activity" and "Foster Hours by Species" reports have been updated to correctly calculate the number of days that each foster animal is in the care of a foster. Also, the "Foster Activity" report will no longer drop the "Total Animals" column when printed.

In the treatments custom reports, there are now columns for "Dose Notes" and "Treatment Notes."

The "Licenses Issued" quick report and Licenses custom report will both now return the "Issue Date" of the license, instead of the date when the license was processed. 

 

Filter for Fosters

When you use the "Filter for Fosters" from the main People tab, you'll now see a new column returned in the results for "Current Fosters." This will list any animals that are currently in the care of your fosters for quick and easy reference.

You'll also notice a new "Last Foster Return" column. This column will tell you how many days it's been since the foster's most recent foster return.

All of the columns you see when using the foster filter are now sortable - just click the header column to engage the sorting.

 

Custom Medical Forms

Behavior checks and categories have been added as new field options to your custom medical forms. You'll now see these as section options when you create a new custom medical form:

The fastest way to add these options to your existing custom medical forms right now is to re-create your existing custom medical form and include these options, and then delete your original form.

 

Miscellaneous

The new search bar on the Partners tab will now correctly display for all users, not just those with the "Configure" permissions.

Litters

You can now create a litter from all existing animals, regardless of whether they are in a litter already. On the records of animals that are not already part of litters, click the "Create Litter" button on the Medical tab, and you'll now see an option for "Add existing." This will start the litter with this animal and allow you to select other animals to add to it.

Also, now ALL animals in-custody, regardless of status type, will be available to add to litters.

Transfers between two Shelterluv customers

You can now delete your transfer outcome to another Shelterluv customer from your Record Management, up until your partner accepts the record. Once your partner has accepted the record, that record is theirs and the outcome isn't deletable on your side.

For animal records transferred between two Shelterluv customers, any memos added to the animal record by the destination shelter will no longer be visible by the source shelter.

 

Partners

You'll now see a search bar at the top of your Partners tab. This should be especially helpful for those shelters and rescues with a long list of partner organizations. Now instead of having to scroll down and load the list until you find the partner you're looking for, simply type the partner name in the search bar and choose from the returned results.

 

Applications

Applicant name and animal name have been added to the subject lines of auto-emails for submitted applications. This should help you more quickly find the application that you're looking for in your inbox.

 

 

Animal Record

You can now select a photo as a "cover photo" on an animal's record WITHOUT that photo being published to any of your aggregator uploads. Simply select "cover photo" and uncheck "publish" on the photo. 

When the microchip number field is configured to be required on your intake forms, you'll now notice that if you choose "Unable to Scan," "None Found," or "Did Not Attempt to Scan" for the microchip type, the microchip number field will no longer be required for you. You'll be able to save the intake form without having to enter any placeholder data in the microchip number field. 

 

Foster

You can now filter for your fosters by attribute. If you use the "Filter for Fosters" option on the Persons tab (via the filter icon on the top right side of the people list), you'll notice a new field for attributes. For example, if you're using people attributes to mark fosters for things like "bottle babies," you can now filter your foster list to find those particular people.

 

Reporting

The following column options have been added to the intake custom report:

• Intake From(Street Address)

Animal Information

1. When editing an animal memo, the text box in the pop-up is now much bigger to help make reviewing and editing a little easier. The text box will also scroll up and down if your memo is longer than the size of the box. Thanks for your feedback on this one!

 

2. You can now add existing animal records to a litter. You can do so from one of two places:

A. From the litter page

On the litter page, the "Add to this litter" button now has two options to choose from - "Add existing" and "Intake new." If you choose the first option, you'll land on a new page where you can select the animal(s) to add to the litter. 

 

B. From the animal's Medical tab

Another way you can add existing animals to a litter is by going to the record of one of the animals already in the litter. On the Medical tab, you'll see an "Add to this litter" button with the same two options, "Add existing" and "Intake new."

You can learn more about adding existing animals to litters here. 

 

3. The diagnostic test section of custom medical forms has been updated to be a little more flexible when the section is marked as optional on the form. If values are mistakenly entered in the "Complete Diagnostic Test" section and then deleted, you should now still be able to submit the form. 

 

Configuration

1. Transferring animals and their records to partner organizations is especially easy in Shelterluv when that partner is also a Shelterluv customer. If you have partners that are also Shelterluv customers, we have made it a little easier for you to find those partners and add them to your configuration. When you search for the partner from the Partners section of the Configuration page, you'll now see current Shelterluv customers marked with a "star" icon. This will help you choose the correct partner so that you can transfers animals to and from that partner smoothly.

 

 

2. You can now edit and delete behavior plans from the Behavior Management section of your Configuration.

Animal Record

• On an animal's record, you now can more easily edit memo text AND memo type of an existing memo. Just click the new "Edit" option to the right of the memo, and you'll see a new pop-up, where you can edit both the memo type and the memo text.

 

Shopping Cart / Transactions

• The Shopping Cart Manager will now display the correct "Time Started" for each of your open shopping carts.
• Transaction memos will now display on the person's record on the Purchases tab for easier reference.

 

• When delivering documents at the end of an adoption transaction, emailing medical-related documents will send the updated versions of these documents to the adopter to download (previously adopters were seeing the old versions of these documents for download from the email). 
• When choosing an animal for an adoption, the adoption subtype drop-down list will now scroll, so that it is much easier to view and select the correct subtype when you have many of them configured.

 

Reporting

• The following have been added as new rules and customized columns to the outcome custom report:
  • Previous Shelter ID
  • Previous Shelter ID Type
  • Previous Shelter ID Issuing Shelter
• On the animal entities custom report, the rule for "Location does not match" has been fixed so that it will return animals with a location that do not match the given rule values.

Reports

• Location (which will return an animal's current location) has been added as rule to intake and outcome custom reports. Location was already a customized column option on these two custom reports. 
• "Do not Call" and "Do not Email" have been added as customized columns and rules to the person entities custom report. These two rules/columns will look at whether you marked a person record as "do not call" and "do not email."

 

Adoption Holds

• Status and location will be saved correctly to the animal's record when "no charge" option is selected. Sorry about that!
• A few other small updates have been made to the adoption hold forms:
  • The "Location" fields will pre-fill with the animal's current location when placing a hold and releasing a hold.
  • The required fields on the forms are now marked with an asterisk.

 

Intakes from Partners

From your Partners tab, you'll see more options added to the green Action button for intake options from that partner:

• Service in / Service out
• Stray from

This will allow you to skip the extra step of going into that Partner's profile to start these additional types of intakes.

 

We recently added the ability to change custody of an outcomed animal to a partner, and then transfer that animal back into your care. With this release, we added the option to change custody of an animal to a partner and then have the option to process the animal as a service intake, as well. Learn more about how to process these "re-intakes" with this help article. 

 

Treatments

We've added a new treatment frequency for 180 days (6 months) called Q180D.

 

Animal Records Attachments

Emailing attachments from an animal's record have been improved so that when you have many attachments added to the record, you will be able to scroll to view and select from all attached files for emailing.

  

Record Management

Donations are now included in the Transactions tab of Record Management.

Digital Signatures for Owner Surrender,  Service Intake, and Return to Owner Contracts

When completing these intake and outcome options and adding a fee to the cart, you will now have the option to collect a digital signature for the contract. No matter what type of payment you process for the transaction, you'll see all the normal options for a digital signature.

 

Adoption Holds

You now have the option to process an adoption hold on an animal without charging anything and without having to go through checkout. Simply check the "no charge" box on the Adoption Hold form instead of choosing an adoption hold price group:

 

People records

We have removed the "Archives" on the People tab of the main home screen. Instead, all people records will load on the People tab itself. To view more people records, simply scroll down on the list. More records will automatically load with each scroll.

 

Custom Reports

• Transferred out animals will now be included in the diagnostic tests custom report. The vaccines and treatments custom reports will be updated in the same way in future releases. 
• We've added two new rules and customized columns to the outcome custom report:
  • cause of death (for unassisted death in custody outcomes only)
  • size group (will return the size group on the animal's record at outcome)
• On the animal entity custom report, using a rule for Altered Before Arrival as "does not match 'yes,'" the report will correctly return animals with Altered Before Arrival values of no, unknown, and blank. 

 

Transferred Out Animals

When you first transfer an animal out to another Shelterluv customer, you'll see "Transferred Out - Pending Acceptance" as the status on the animal's record. Now, once the receiving shelter has accepted the transfer record, the status on your record will update to "Transferred Out." This way you have a way of knowing when your partner has received and processed the record for your transfer animals. If you're the shelter on the receiving side of the transfer, the first status you will see on the animal's record in your account is "Transferred In."

 

IFrame

The Shelterluv iframe was having some issues for animal "types" other than dogs and cats. These issues have been resolved, and you should now be able to use the iframe for all animal types without any problem.

Intakes/Outcomes

• Unassisted death in custody outcome forms will now allow you to choose a foster parent as the location of death, as well as in-shelter locations.
• For animals that are intaked as an owner surrender, you can now process a euthanasia outcome on the same day as the intake.

 

Animal Record

• Emailing medical-related documents (complete medical history, rabies vaccine certificate, etc.) from an animal's record will now send the pdf version of that document with the newer layout as attachments to the email. This means that the emailed and printed versions of the documents will now be the same.
• For feral intakes and outcomes, you'll now see the address where the animal was found and released displayed on the animal's record, under the History tab.
• New species/breed options now available:

New Stray Intake Flow

You can now re-intake a previously outcomed animal as a stray intake. No matter whether the animal was previously adopted, transferred, returned to owner or otherwise, you will now find an option to intake the animal with a "Found as Stray" option from the person or partner with which the animal was outcomed.

For example, if the animal had previously been adopted, returned to owner, or a service outcome, find that owner's record and navigate to the Animals tab. Find the row for the appropriate animal, click the green Action button and select "Found as Stray." That will take you right into the stray intake form. You will find a similar flow from the partner's page if the animal was previously transferred out.

You'll see a new field at the very top of the intake form for "Associated Person." This field is to indicate who found the stray animal. Start typing the person's name and you'll see matching results returned to choose from. If the person doesn't have an existing record, choose the "Add new person" option, and you'll be given the person fields to complete right there.

From there, complete the stray intake form like normal, click "Next," and the stray intake will be completed.

 

Status Review

We've added new functionality for setting review dates for a certain status on an animal. This could be used for many different types of things where you need to be reminded of some update an animal will be ready for in a given number of days.

For example, an animal may be on a stray hold for the next five days, after which you'd like to make the animal available for adoption. You can add a review date to the animal's record, tied to their current status, for five days from now. In five days, that animal will display in a new task list called "Status Review" as a reminder for that stray hold ending. From that task list, you can select the animal and update the status, which will clear the review date off of the animal altogether.

You can add a review date to an animal from the Processing tab and Status subtab of the animal's record. 

 

You'll be asked to simply add a date for when you'd like the animal's status to be reviewed and an optional memo field, which will display on the task list with that animal.

 

If you navigate to the Tasks page (via the gear icon in the top right corner OR the checkmark icon in the header bar at the top of your screen), you'll see a new tab called "Status Review." Here you'll see a list of animals that have a review date within the date range you select. You can clear their review date by selecting the animal and using the blue "Update Status" button to update the animal's status. The animal will be automatically cleared off this list (and their review date removed) once the status is updated.

NOTE: Updating the status of the animal BEFORE their review date will wipe out the later review date altogether also.

 

 

Adoption Holds

Once a person has placed an adoption hold on an animal, that animal's record will now display with that person's name to help make this information easier to find.

 

Configuration

• Petfinder has updated its attribute options in the auto-uploads. Our current uploads will set your publishable animals as "unknown" for the "good with dogs, cats, and children" attributes. We are looking into how we can give you more control over how these attributes are passed to Petfinder on an individual animal basis.
• The Contract Manager section of Configuration has been updated to display better in all browser types.
• Updating items or adding new items in the Application Builder section of Configuration should no longer move the order of items around unexpectedly. 
• Owner surrender applications for animals other than dogs and cats will now display fields for species and breeds correctly.

 

Animal Records

• Transfer partners for animals that have been transferred in and/or transferred out should now display correctly on the animal's Caretaker history.
• Emailing uploaded attachments from an animal's record should work without any issues now.
• You will now be able to edit names of animals that have been returned and processed directly into foster care without any issues.
• Rabies certificates will now display the shelter's information in the owner fields when the animal is in your custody.
• Two new previous ID types have been added, "brand" and "band."

 

Length of Stay Report

The Length of Stay quick report has been enhanced in a few different ways:

• It will display days onsite and days available correctly when exported to Excel.
• It will include all in-custody animals (when you're using that very first calculation for all in-custody animals), no matter how long ago they were first intaked, even if that is many years ago.
• It will display "Foster" as an animal's location if the animal is currently in foster, instead of N/A.
• It will also display "Transferred Out" as the location of animals that have had a transfer outcome, instead of N/A.

 

Miscellaneous Updates

• The playgroup (behavior activity) task list has been enhanced so that it should load faster than it did previously.
• People records have been optimized to load documents and attachments faster when you click the paper clip icon.

New custody change options

Owner to Owner: Ownership of an animal can now be transferred to a new owner for animals with service out and return to owner outcomes. This functionality already existed for adopted animals. Learn more about how to make these ownership changes here. 

Owner to Partner: Animals that are in an owner's care can now be updated to be in the care of one of your partner organizations (similar to how you can transfer custody of an animal from one owner to a new owner). This custody change will allow you to subsequently transfer the animal into your care from that partner. (NOTE: Right now, this functionality will only be an option if the partner organization is NOT a current Shelterluv customer.)

You will find this custody change option from the current owner's record on the Animals tab. Choose "Transfer Custody to Partner" from the green "Select" button. Then you'll be asked to complete a short form about the custody change. Then you'll see this animal displayed on the partner's page under a new tab called "Custody Changes." From there, you will see an option to transfer the animal back into your custody.

 

Checkout

When you're selecting an animal for an adoption, you may have noticed that certain animals will have a cart icon and cannot be selected. This means that another user has already added that animal to a cart for an adoption. If the payment process has already been started on that user's cart, only that user will be able to complete, edit, or delete that cart. 

With this week's release, this icon will now display with the user's name so that you can easily determine who started that cart. This way you know who to talk to if the animal needs to be cleared out of the cart.

 

Reports

We have built a new event custom report type for completed diagnoses. This report will return animals with a new diagnosis within the given date range. The customized columns on the report include basic information about the animal, the details of the diagnosis for that animal, as well as intake and outcome information.

The Length of Stay report has been updated to include the ability to exclude individual animals from LOS calculations if you so desire. Just simply uncheck the box on that animal's row of the report. 

 

Documents

After an animal has been adopted, medical documents will now all include the owner's information, including name, address, phone number and email. This update includes documents for the complete medical history, memos, vaccines, and treatment history. (The rabies and spay/neuter certificates already worked this way.)

If you've configured a receipt footer, this footer should now display on all receipts, both printed and emailed. 

 

Memos

We've fixed the memos so that after being saved, they will immediately display on the animal record, instead of requiring a page refresh. 

 

Medical

A new treatment frequency has been added for 60 day intervals (Q60D).

We've made some updates on the vaccine task list so that it should load faster for you now, especially when using the filters. 

 

Configuration

In the General Shelter > Contract Manager section of the configuration page, the contract text editor has been updated in a few small ways:

• The text box has been updated to be much wider so that you can more easily add, edit and review your contract text.
• When you try to use the cut/copy/paste options, you will now be alerted if your particular browser doesn't support this functionality. If it doesn't, you can use keyboard shortcuts instead (control/command + X = cut; control/command + C = copy; control/command + V = paste). 

 

Applications

We've made formatting updates to the way in which copied applications will be displayed when pasted (via the "Forward This Application" in the Application Manager). We hope this updated formatting will make these applications easier to read at a glance.

Applications

You now have the option to receive an email for each of your submitted applications. This can be configured via General Shelter >> Application Builder. Choose the application type, check the box beside "Auto-email submitted applications", then enter the email(s) that you would like to receive completed applications of that type. 

 

 

Intake Forms

When you're processing an intake for an animal directly into foster, the "Foster Parent" field has been updated to be a little more flexible in who it will return as a foster parent in your shelter. It will now return foster parents who either have the "Willing Foster" attribute OR the "Foster (active)" attribute (which denotes foster parents who currently have foster animals). Hopefully this makes the foster process just a little bit easier for you!

 

Animal Record

An animal's documents will now include all previous contracts for adoptions, adoption returns, and owner surrenders, when an animal has been intaked and outcomed more than once. The person associated with each contract will be noted with the person's ID number immediately after the contract name.

 

Edit Multiple

Adding multiple attributes via Edit Multiple has been enhanced in two ways:

1. You can now add disclaimer text to animal records via Edit Multiple, when you are adding attributes.
2. The attributes option in Edit Multiple will now work correctly from litter pages as well.

 

Bug Fixes

• We've made some performance optimizations to the a nimal entities custom report so that it will run more smoothly again for your selected time range without timing out.
• The treatments events custom report has been fixed to return completed treatments correctly.

We have many updates to share with you from this week's release, the biggest of which are the addition of a new "archive" option in the Application Manager, and "edit multiple" functionality for animal attributes. 

 

Applications

• We've introduced a new "archive" option to better organize all of your applications in the Application Manager. Pending and "In Process" applications can now either be accepted, rejected, or archived. You can still choose whether or not to create a person record when archiving an application.

• The "pick a number" type application questions have been updated to accept values up to 99 to help make this item type more useful for different types of questions.

 

Edit Multiple

• You can now select multiple animals from the main Animals tab and add one or more attributes to their records all at the same time. This can be completed via the "Edit Multiple" functionality, which you can open by selecting the correct animals and then clicking the pencil and square icon at the top right corner of the animals tab.
  • NOTE: Adding disclaimer text to an animal's record via an attribute is not yet available for the "edit multiple" functionality. This functionality will be added soon. 

 

People Records

• We have updated how the system-generated foster attributes will work on an animal's record.
  • "Foster (active)" attribute will now only display on a person's record when they currently have a foster animal in their care.
  • "Willing foster" attribute will automatically display on a person's record once an active foster no longer has foster animals in their care. This attribute can still be manually added or removed from a person's record whenever you would like to do so.

 

Animal Records

• The rabies vaccine printout has been updated! This printout now matches the standards set by the NASPHV.
• AKC Reunite has been added as an additional microchip issuer option.

 

Intakes

• We've made a small enhancement to the owner surrender and service intake flows. When the intake is a new animal, the "here" text on the person's record where you need to click to start the intake form has been slightly modified to be a little easier to find.
•  When intaking multiple littermates, the "Intake Asilomar Condition" and "Condition at Intake" fields will both now pre-fill with the values that you've entered in the previous littermate's intake form. All other fields on the intake form already pre-fill in this same way.

 

Configuration

• In the medical Configuration, clinic contact information, including address, email, and phone number, are all now optional fields.

 

Bug Fixes

• Duplicate animal records displaying from the main Animals tab should now be resolved. 
• When an animal is returned from a foster, a "Foster's Notes" memo will now only be added to the animal's record if a memo is entered on the foster return form. 
• You can now add a new transfer point of contact to a partner's profile page without replacing the original contact displayed on the partner's profile. The new transfer of contact will simply be added to the table as an additional contact.

Animal Record & Documents

• Check out some of our new medical record printouts, including the complete medical history, treatment sheet history, memo history, vaccine history, and spay/neuter certificate. You'll still find all of these documents behind the paper clip icon on the animal records. More printout updates will be released in the coming weeks.
• "USDA" has been added as a microchip issuer option.
• "Eartag" has been added as a previous shelter ID type. 
• "Age today" field has been updated to go up to 99 years.

 

Aggregator and Microchip Upload Confirmation

In Configuration, you'll now be able to immediately test your entered credentials in your configuration for the aggregators (Petfinder, Adopt-a-Pet, and Rescuegroups) and Found Animals microchip registry. Simply click the blue "Save" button, and you'll see a few pop-ups that give you an update on whether a connection was successful or unsuccessful. If unsuccessful, double-check the credentials that you've entered for the upload. Learn a little more about how to find the correct credentials here. 

 

 

Donation Updates

When you process credit cards through Shelterluv, we can now update the donation page for you to display dog-only or cat-only donation descriptions. The default version will display a combination of both cat and dog donation descriptions. Let us know if you'd like your donation page to be made dog or cat only by emailing help@shelterluv.com.

Medical Tasks

To help you complete treatment tasks, you can now group animals based by location on the task list. An easy to read, printable task list of this new view is also available.

 

Diagnostic tests tasks can now be edited from the tasks list by clicking on the test name. You can edit the scheduled date, the test type, and the supervising veterinarian, or delete the test altogether.

 

Animal Records

• When new medical data, like rabies vaccinations or spay/neuter information, are added to an animal's record, the corresponding printouts will appear immediately on the animal's record without needing to refresh the page. 
• Jpeg files will now be accepted as uploaded photos on an animal's record. Previously, jpg was accepted but jpeg was not.

 

Custom Forms

Custom medical forms have been added as an option for pending intakes after you complete the intake form. 

 

Reports

Several columns on the intake and outcome custom reports have been updated so that their values are calculated at the point of intake and at the point of outcome. On the intake custom report, the columns called Age (months) and Age Group will now return the animal's age in months or age group at the point of intake (instead of present age group). 

 

Displaying animals on your website

Shelterluv's iframe has been updated so that it displays photos in the exact same ratio as they are displayed on an animal's record. 

 

Bug Fix

Editing "other" treatments from an animal's record will no longer create an additional treatment on that record.

Partners

• Submitting a new partner organization will now be much faster and more streamlined. Upon submitting the new partner organization and their details, you will immediately see the partner added to your Partner list and you can immediately start using that partner for intakes and/or outcomes, rather than having to wait for it to be added to our database. 
• The Partners tab should load much faster now. To load more of your partners, simply scroll down to the bottom of the page. 

 

Medical

• The custom medical forms that we released last week have already received their first enhancements! The custom forms can now be accessed via:
  • the born in care intake flow.
  • an animal's record (you will now see a blue "Custom Form" button from the Medical tab > Medical Summary subtab).
• You can now complete multiple diagnostic tests at once from the Tasks list. Simply select the tests and click the Complete button to add results in bulk. Note that this will only be an option when you select multiple of the same TYPE of test. You will receive an error if you try to complete different types of tests at once that have different result options. 

 

API

• Previous shelter ID has been added to Shelterluv's people API. 

 

Bug fixes

• "Other" treatments will now save correctly when completed from Edit Multiple.
• In intake custom reports, Age (Months) will now return data correctly when used as a rule to the report.

New Feature: Custom Forms!

You can now quickly edit and add to an animal's record all from one screen by using custom medical forms! Add age, microchips, locations, vaccines, treatments, memos, physical exams, and more with one click. Using custom forms, you can pick the fields you would like to complete without tabbing back and forth in an animal record. Custom forms may be most useful for you during intake or recheck exams for a specific reason (e.g. URI recheck).

These forms are shelter-configured and very flexible. Learn how to set up your own custom medical forms here.  

 

 

Exports

We've added the following fields to our animal API:

• Associated Person 
• Foster care start date
• Microchip number
• Microchip issuer

You can learn more about Shelterluv's API with this overview and these detailed specifications.

We have also added a new microchip auto-upload option for SmartTag microchips. This auto-upload can be set up in a very similar way as our other auto-uploads, via Configuration. Learn more about how to do that here. 

 

Reporting

We have added a new customized column in accounting custom reports for "Stripe charge ID". If you're using Shelterluv's payment processing, this column will help your accountant reconcile transactions from your Stripe account with those same transactions recorded in Shelterluv.

 

Bug Fix

Intaking an animal directly to a foster parent via the intake form will now process the animal's location correctly, with the foster parent's name.

Multiple Transfers

You can now easily transfer out multiple animals at one time. When you're choosing the animals to transfer out, you'll now see that you can choose more than one animal by clicking "Transfer Out" for each. Once you've selected all the animals you'd like to transfer out, simply click the gray button for "Complete Transfer". 

You'll then be taken right into the transfer outcome forms for each animal that you selected, one after another. 

Medical 

• You can now backdate a surgery when you're completing the surgery from the Tasks page. 
• Rabies certificates for animals currently in foster will now display with "No Owner on Record" in the Owner Information section of the certificate. 
• When administering a rabies vaccine, Supervising Veterinarian will now be a required field to complete on the vaccine form.  

Reporting

• Foster address fields (street address, city, state, and zip code) have been added to customized columns and rules to the animal entities custom report. 

Intakes

• Intake Date field has been added to Feral/Wildlife intake forms.

Animal Records

• We have added a new dog breed option to our breed list: "Mixed Breed (Medium)". This means you now have the option to choose mixed breed of three different sizes: small, medium, and large.
• After an animal is adopted, the adoption contract will now remain exactly as it was at the time of the adoption. This means that any subsequent changes to your adoption contract or subsequent changes to the animal's record will not be reflected in that adopted animal's adoption contract. 
• If your shelter or rescue is using the "pre-intake" functionality, you will now be able to change the names of pre-intake animals before completing their intake.
• Intake date has been added to the records of born in care animals. You will see the intake date on the Profile tab of the animal's record. Clicking the green "Edit Record" button and then clicking on the intake date will allow you to edit this date after the intake is already completed.

 

Add Multiple Memos

• You can now use Edit Multiple from the Animals tab on the homepage to add the same exact memo to multiple animals.

 

Shopping Cart

• We have added a search bar on the "Items for Sale" page that you see as the first step in processing non-adoption transactions. This should be especially helpful for those shelters and rescues who sell many different types of items at their checkouts, which can make this page a long one. 

• If you're using transaction-level discounts in any of your shopping carts, you'll now be asked for the discount reason earlier in the checkout flow, right after the cash drawer pop-up. This updated flow helps accommodate these discounts no matter how the member of the public would like to pay for their transaction.

 

Application Manager

• We have further enhanced our duplicate record prevention so that when you accept or reject an application and create a new person record, the system will double-check that the submitted phone number and email address aren't already on an existing record as a secondary phone number or secondary email address. This will help to further reduce the number of duplicate people records created in the process of accepting and rejecting applications.

 

Medical

• Vaccines will now display in an updated order on an animal's record based on "date completed" or "date scheduled". These vaccines will display in the following order, from top to bottom: overdue, scheduled, then complete/incomplete vaccines. Any newly completed vaccine will display as the very first of the completed vaccines, while any newly scheduled vaccine will display as very first of the scheduled vaccines. 

 

Reports

• The Detailed Transaction Report will now display correctly across columns when there is no credit card number on a transaction.
• The column widths of the intake and outcome event custom reports have been widened so that these reports are more readable at a glance.

Checkout/Shopping Cart

• When processing a refund for a transaction, you will now see a new pop-up for the cash drawer. This will allow you to indicate at which cash drawer the refund was processed. This cash drawer will display in accounting reports with the refund. 

• Item-level discount reasons will now display correctly as memos in accounting reports. 
• Hiding the adoption contract from displaying via Configuration will now correctly hide the contract from displaying to adopters in the checkout process. 

  

Animal Record

• If you've mistakenly added a secondary breed to a dog, you can now easily remove that secondary breed via the animal's record. Simply click the green "Edit Record" button then click the secondary breed field. On the secondary breed field, choose the very first option on the breed list, the default field "Select Secondary Breed". Saving this will update the secondary breed field to be empty.
• "Private" memos have been fixed so that they do NOT appear on the memo print-out from the animal's record, and they will not be visible to users without the permission to create and edit animal records.

 

Reports

• We've added a new "current snapshot" option on entities custom report, which will be especially useful when you want to see animals in your custody at the exact moment of running the report. In comparison, if you use current date for beginning and end/date, animals that started the day in your custody but have since left at some point in the day from your custody would still be included in the report. These animals would NOT be returned in the "current snapshot".

• Fund and Department are now displaying correctly on various accounting reports.
• Exporting accounting reports to Excel will now export currency columns with the correct currency formatting.
• The accounting custom report now has email address and animal ID as options for rules and customized columns. 

 

Medical

• In Configuration, there are currently options to build templates for physical exams, vaccines, and diagnostic tests. We've renamed these templates slightly to "quick fill templates". We hope that this more descriptive name will help clarify how these templates can be used. 
• The medical memos on the Medical Summary tab have been updated to retain the memo's paragraph formatting. This memo will now exactly match the way the memos display on the Memos tab.

 

Application Manager

The foster application disclaimer that the applicant agrees to by submitting their application will now be displayed with each submitted application in the Application Manager, at the very bottom of the application.

Owner Surrender Application

We have added a new type of application for owner surrenders! You will find three versions of the application in the Application Builder section of Configuration. These applications can be used in the exact same way as the other applications - questions can be set up, a disclaimer can be added, they can be shared via a special URL, and submitted applications can be managed via Application Manager.

 

Pre-Intakes

It is now much easier to view all pre-intake animals all in one place AND complete the intake of more than one pre-intake animal at a time.

If your shelter or rescue creates pre-intake animal records, you will now be able to use the status filter on the Animals tab on the main homepage to see all pre-intake animals at once. Simply choose the status your shelter or rescue uses for pre-intake animals from the status filter. 

From there, you can complete the intake of one or more of the pre-intake animals using the "Edit Multiple" icon. If you select the animals for which you'd like to complete intakes and click the "Edit Multiple" icon, you'll see a pop-up that asks for the intake date, as well as the animal's new location and status to complete the intake.

If you have a litter of pre-intake animals, you will also be able to complete their intakes all at once via Edit Multiple from their litter page.

Search

When using the main search bar to search for animal records, the default search will now ONLY return animals that are currently in your custody. To see all animals that match the search (and not just those in your custody), you can unclick the new checkbox that says "show in custody animals only". This should help you find the record you're looking for just a little bit faster. 

 

 

Behavior Activity

When you enable behavior activity (also referred to as playgroups) on an animal's record, you now have the option of noting certain animals that have personality conflicts with the given animal. These noted animals will display on the Behavior Activity tasks page for easy reference when you're putting the playgroups together. 

 

 

 

Physical Exams

You can now delete completed physical exams. Simply click the three-dot icon in the top right corner of the physical exam card and click "Edit". The exam form will open from the right side of your screen. If you scroll to the bottom of the form, you'll see "Delete" in red.

Deleted exams will still be visible on the animal's record but will be moved to the very bottom of the page and will be inactive.

 

Reports

• Born in Care will now display as a rule option in intake and outcome event custom reports.
• The accounting custom report will now return addresses, including apartment numbers, correctly.

Reports 

Quick reports now include a short explanation for the report that includes a brief description of the report and a few details on the report query. This information should help clarify exactly what you're looking at with each report and how it's run. 

 

 

"Original Source" has been added as a rule and customized column to outcome event custom reports. On intake event custom reports, the "Original Source" rule and customized column have been updated to display the partner name for transfer intakes and service intakes from partners. For all other intake types, this field will simply display the intake type. 

The Deposits Taken accounting quick report now includes a new column for transaction memo.

 

Partners

After you add new transfer points of contact on a partner's page, you are now able to edit this information. You can add (and edit) transfer points of contact to a partner by going to the Partners tab, clicking on the partner's name, and then navigating to the Profile tab.

Transfer animals back in that have been transferred out

After you've transferred an animal out to a partner, you are now able to easily transfer that animal back in to your custody. This can be completed via the Partner's page from the "Transfers To" tab. 

(NOTE: This functionality is only available when the partner shelter is not also a Shelterluv customer. If the partner is also a Shelterluv customer, transfers back and forth were already quite easy and have to be initiated by the sending shelter).

Document delivery to adopters

Now when you email important documents to adopters after processing an adoption (or other types of transactions), only ONE email will be sent for all selected documents, rather than flooding the adopter's inbox with a separate email for each document. From that one email, they will be given a link that will direct them to a page from which they can download each document. 

 

 

Filters added to Foster page

When you're moving an animal to a foster parent, you will now see filter options on the Foster page for animal type, status and location. This should help make it a little easier to find the animals you're looking to move to a foster parent. 

Reporting

• The Length of Stay quick report has been updated so that you can look at LOS in a few different ways:
  • All animals currently in custody
  • Animals that had an outcome during the selected time period (outcome based)
  • Animals that had an intake during the selected time period (intake based)
  • Days animals were in care during the selected time period (care day based)

Upgraded functionality: Appointment scheduling!

You can now use Shelterluv to schedule appointments for two different types of events: recurring events and one-time events.

• Recurring events are events that consistently occur at the same time on the same day over time. An example might be a spay/neuter clinic that your shelter or rescue holds every Saturday morning between 9 am and 2 pm. Members of the public can book appointments for this type of event via a general URL. Your organization could share this URL however you'd like - via an email, behind a button on your website, etc. 
• One-time events are more one-off appointments that you want to make with some person in particular. For example, maybe you'd like to schedule an appointment for a foster parent to pick up their foster animal. Members of the public can only book an appointment for this type of event when an invitation is sent specifically to their email address (which you enter when scheduling the appointment).

Both types of events will integrate seamlessly with a Google calendar. You can learn more about setting up these events here. And this article will walk you through how exactly to schedule appointments once you have the events set up and ready to go. 

 

Document updates

• Age, weight, and spay/neuter status are now included as fields on rabies certificates.
• Secondary breeds have been added to printouts for medical history, spay/neuter certificates, and rabies certificates. The secondary breed will display together with the primary breed, separated by a forward slash (e.g. Retriever, Labrador / Mixed Breed (Large) ).
• "Mixed" field has been removed from medical history and spay/neuter certificate printouts.

Owner Transfers

We know that sometimes after animals in your care are adopted, they end up with a new owner for one reason or another. Shelterluv now has functionality to support these changes in owners after an animal has been adopted. Learn more about how to do this here. 

 

Adoption Holds

Adoption holds have been updated to be more flexible and useful for the different types of holds different shelters and rescues might use. Learn more about those updates here. 

 

Applications

We've updated so that applications are now split across two screens. The first screen will include Shelterluv's default basic contact information fields. The second screen will contain all the items that your shelter has added for the application. This will help alert the applicant to any errors with duplicate emails or phone numbers BEFORE the applicant has completed your shelter-created application questions.

 

Reporting

• Date of Birth has been added as a rule and customized column to intake event custom reports.
• The Procedures and Surgeries event custom report will now align columns correctly when attributes are added as a customized column.

 

Medical Tasks

For treatment tasks on the Tasks page, clicking "Show overdue" from the Treatment View will now display overdue treatments from over the last two weeks. This limitation will help these tasks load much faster. If you'd like to see overdue treatments further back than two weeks, simply use the date fields to choose an earlier date.

 

Sneak Peek of What's Coming Soon:

• New event scheduler functionality: We'll be adding brand new functionality that will allow you to create and schedule two different types of events, recurring and one-time events. 
• Pre-intake updates: With these updates, you will be able to use filters to more easily find pre-intake records, and you will also be able to complete the intakes for multiple pre-intake records at once (especially helpful for litters).
• Transfer in and out updates: Animals that have been transferred out will be able to be easily transferred back in with the animal's existing record.

Status

In Configuration, Status has been updated to be a little clearer. Now you'll see that statuses are arranged in two buckets - "In Foster" statuses and "In Shelter" statuses. "In Foster" statuses are those that are set up as "in foster=yes". "In Shelter" statuses are those that are set up as "in foster=no". This distinction is one of the most important distinctions in status types, so we hope this helps make it a little bit easier to set up and understand your statuses.

Checkout

We've added some extra help text in our credit card checkout flow. This help text is meant to explain the different ways you can process a credit card and what each option on the pop-up involves. This should be especially helpful for any newer users who are getting the hang of the checkout flow.

 

 Medical

• We've updated the "Given by"/"Performed by" free-entry text box in medical interfaces to be a user drop-down instead. Just type the name of the user you want to have in this box and it will autofill. This applies to many different medical interfaces, including:
• Adding a diagnostic test, vaccine, physical exam, or treatment from an animal's record
• Marking medical-related tasks as complete
• Editing multiple vaccines, treatments, exams or diagnostic tests

Here are the details of this week's release:

 Animal Records & Intakes

• You will now receive a warning pop-up if you move an animal into a location that will exceed its given capacity with that additional animal. This is only a warning, not a blocker. You can still move the animal to that location if you'd like to by clicking the "Proceed" button. Capacity of all of your locations can be managed via Configuration.
• You can now add, edit, and delete multiple microchips on an animal's record.

 

• Service intake contracts will now print with the correct margins. 

 

Reports

 "Condition at intake" has been added as a rule and column to intake event custom reports.

 

Shopping Cart

The transaction memo pop-up has been added to the checkout flow when you process a transaction with Shelterluv's credit card processor. It will display when you click "Complete Transaction" from the Shopping Cart Manager. After the transaction memo pop-up, you'll still be asked how you'd like to deliver documents to the customer as you were before.

 

Medical

• When you schedule or complete a vaccine, you will now see that the "product" field is an autocomplete field, functioning the same way that the breed field does on intake forms. Just type in the vaccine you want and select from the corresponding list.

• Edit multiple now has full functionality for adding treatments. 

 

• Treatments from the Tasks page have some updated formatting so that you can view all columns at once and so that it will print nicely in landscape mode.

Medical

• Surgery:
• When a spay/neuter surgery was added to an animal's record, a duplicate spay/neuter surgery used to display with the other completed surgeries. This was because of the spay/neuter specific field on the surgery form. This field remains on the form (this field is what updates the altered status on the Profile tab of the animal), but it won't display as a duplicate surgery anymore.
• Clinic name will now display on the Surgery subtab on animal records if a clinic is selected for completed surgery.

• Diagnostic Tests:
• Diagnostic test "cards" will now remain open by default so that you can easily view test results.

• Vaccines:
  • "Tag number" has been updated to "Rabies tag number" on animal records to make that field a little clearer.
  • Some small formatting updates have been made to rabies certificates. 
  • On the completing vaccine pop-up form, the "Next due" fields now include clear and visible arrows to make it clearer that these are editable fields.

Here are the enhancements and fixes we released this week:

 Reports

• Pathology: Location report has been completely re-built so that it runs much more smoothly for shelters and rescues of all sizes. 
• Age Group has been added to animal entity custom reports, both as a rule and a Customized Column option. 
• Attributes has been added as a rule to person entity custom reports. This option already existed as a rule for animal entity custom reports.
• On the Purchases tab of a person's record, you will now see that the type of card processor (Shelterluv vs. other card reader) has been added to the Payment Method column for easier reference.

 

Animal Record Management

• You can now add littermates to animals that are created with our new, more streamlined flows for owner surrender and service intakes. You can do so via the Medical tab of the animal's record with the "Create Litter" button.
• Deleting an adoption of a foster animal (via Record Management) will now revert the animal back to its last foster parent and an "in foster" status of your choosing.
• When a weight is entered for an animal, it will now be saved in the units in which it was entered, rather than being automatically converted to pounds (lbs).

New and Improved Owner Surrender / Service Intake Flows

In order to process an owner surrender or service intake, you used to have to first create a previously owned animal on the person's record and then process the intake. We've updated these two flows to eliminate this extra step! Now you can create the animal record and process the intake, all within the existing owner surrender and service intake forms, just like you can for all our other intake flows. We hope this helps streamline these intakes for you!

For example, if you click "Owner Surrender" from the "Add Animal" button, you'll now see this updated message to start the intake directly:

 

Service Intake Configuration

There's now an additional piece of Configuration for service intake forms. After you complete the service intake form, this flow used to default to taking you right into the checkout flow, in case you wanted to process a service-related transaction. However, now you can choose to either hide or display the checkout page after completing a service intake form (via Configuration > Intake & Outcome > Intake Forms > Service Intake). Hiding the checkout page means you'll see options to go to the person or animal record (or home) instead of going directly to the checkout page.

Miscellaneous Updates

• Your digital applications should now work much better on Internet Explorer for versions 8 and beyond. 
• Attributes have been added to our current inventory API endpoint. More details will be on the way here. 
• Memos have been added to the configuration of Adoption Return and Feral/Wildlife intake forms. You can now choose to either hide/display memos and mark them as required/optional for these two intake forms, just as you can for the other intake forms.

We have some exciting updates for you this week! 

Foster to Foster Transfers

You can now transfer a foster animal directly to another foster parent without the extra step of returning the animal to the shelter. Start the foster return process like normal from the foster parent's profile, and on the subsequent foster return form, choose "Intake Into: Foster" and type the new foster parent's name in the next field.

 

Record Management

Partial or pending intakes are now included as a new tab in Record Management. This addition will make it really easy to delete any pending intakes that don't actually end up happening.

Tasks Updates

Miscellaneous Updates

• Receipts will now open in a new tab instead of interrupting your work flow in the same tab. We've updated receipts in a few places:
• after a refund is processed
• from the purchases tab on the person's record
• from the transactions tab on the homepage
• from the transactions tab in Record Management
• In Record Management, the search bars will now search all records without having to load them. This should make it much easier to find past intakes, outcomes, transactions, and licenses to update or delete. 
• The Estimated Date of Birth field on intake forms can now be more easily typed into for easier entry of dates, especially when the animal is over a year old.
• You can now display two red pop-up memos on an animal's record if you have two very important messages for users to quickly see about an animal. 

 

Bug Fixes

• When processing a born in care animal, you should now be able to find the correct mother, no matter what status that animal is in (as long as they are in custody).
• Length of Stay results have been corrected in animal entity custom reports.

Here are the updates we made this week:

Search

• A new way to search for an animal is to use the animal name (or part of the name) followed by an asterisk. This type of search will display all animals that start with that name. For example, searching for Bell* will return Bell, Bella, Belle, Bell 18, etc. 

Custom Reports

• Treatment event custom reports will now return ALL treatments, not just drug treatments.
• Memos (with their actual content) is now an option for a customized column in people entity custom reports. (These already existed as an option as a column for animal entity custom reports.)

Treatments

Treatment Sheet History

You can now print out (or email) an animal's Treatment Sheet History from the System Generated Documents section. Treatment history shows a complete list of all medications that were scheduled or given to an animal. This list can be very long, depending on the animal. For a summary version of treatments, use Medical History Summary.

 

Adding a Treatment

When a user adds a treatment, they now have more control over when the first dose is given. If you check that the first dose has been given, you can specify if you have given it now or if it was given in the past. 

The system will calculate when the next dose is due based on the date first given and the frequency provided.

 

Reports

• Animal attributes can now be used as a rule in event custom reports.
• Additional animal details (sex, color, weight, and microchip number) are now available as customized columns for license custom reports.

Visual Shelter

We've updated our Visual Shelter interface to be more useful. It now includes a number after each location or sub-location to indicate current occupancy of that location. Clicking on any location or sub-location will open a new page that lists the animals currently in that location.

Visual Shelter can be found as a tab on the Analysis & Reports page.

 

Miscellaneous Updates

• You can now add multiple transfer points of contact to a partner via the partner's profile. Just click on the partner from the Partners tab, and navigate to the Profile tab within the record of that partner.
• We've made phone number searches a little more flexible. When you use a person's phone number in the main search bar, you can now enter parentheses and dashes in the number and the search will return the correct results.
• "Mobile home" has been added as a housing option on the standard housing question on adoption applications.

Bug Fixes

• Deleting outcomes (like adoptions) via Record Management will now correctly revert that animal's record back to its previous status, location, and associated person. 
• Moving an application to "In Process" will no longer create a record for that potential adopter/foster. A record will only be created when you either, 1) accept the application, or 2) reject the application but choose to create a person record.

We have some updates to share with you to start the new year off!

 

Birthday in intake forms

You can now enter an estimated birthdate into all intake forms (if you have it) instead of having to calculate the animal's age today. The three age-related fields all work together, so entering an estimated birthdate will automatically update the Age Group and Age Today fields (and vice versa). 

 

Weight Updates

When you add a new weight to an animal in the animal's record, you can choose the date when the weigh-in occurred. This means you can add weigh-ins from the past.

Happy holidays! We've got a few small updates to share with you this week. 

Medical

• The ability to add a controlled substance is now linked to the Medical Configuration permission (instead of the general Shelter Configuration permission).
• Diagnoses and Physical Exams should be a little bit easier to use now across different screens and contrasts, with the menu arrow icon on each card made a little bigger and darker. 

Application Manager

• The search bar in the Application Manager will now return results for the "Animal Interested In" field for adoption applications. This means that if you search for a specific animal, the search will return BOTH specific applications submitted for that animal and generic applications that have that animal name entered in this field of the app.
• The "in process" tab of App Manager is now rearranged to be in the order in which apps were submitted (instead of the order in which they were moved to this tab).

Medical updates

• Diagnoses are now built into the Physical Exam. From the Physical Exam form, you can now:
• view what diagnoses are currently active
• resolve an active diagnosis
• add new diagnoses

 

• Vet checks and CVT checks can now be added to multiple animals using the Edit multiple option from the homepage.

We've got quite a few updates to share with you from our latest release. As always, please reach out to us at help@shelterluv.com with any questions or issues.

 

Physical Exam Updates

Customized PE Templates: You can now configure your own templates for PE in Configuration, beyond the normal/abnormal options. You can also edit and delete your customized PE templates.

 

Add Multiple PE: You can also now add multiple PE from the Edit Multiple pop-up. Any exam entered will be duplicated across all selected animals. You can also add surgeries for multiple animals now.

 

Other Medical-Related Updates and Fixes:

• Rabies vaccinations now require selection of a Supervising Veterinarian.
• When adding treatments, a new field "Administered by" has been added. This field will default to pre-fill with the current user, but this can be edited.
• Medical memos are now accessible from the Medical tab in an animal's record. These can be viewed/edited from the Memo tab as well.

Search Updates

• The search bar from the Application Manager will now work as you expect it to, without having to scroll down to load all application records. (Note: This was only an issue for shelters with a very high volume of applications, so if you don't fall into that bucket, you probably weren't seeing any issues using the search bar.)
• You can now search with an animal's shelter ID from the main search bar in two ways:
• entire ID as it appears on the animal's record (e.g. TEST-A-3344)
• # + ID number (e.g. #34567)
• Searching by Age Group from Advanced Search now correctly pulls in the specific age groups that have been configured by your shelter administrator.

Tasks Update

You can now see overdue medical-related tasks by clicking the "Show overdue" option on the medical subtabs of the Tasks page. This basically removes the start date from the date range and will return all overdue tasks that exist for your animals.

Other random updates and bug fixes:

• Edit Multiple functionality now has updated permissions, so that:
• users who have "Create & Edit Animal Records" permission can edit status and location of multiple animals.
• users who have "Add Medical Data" permission can add vaccines, treatments, and PEs to multiple animals.
• If you use Shelterluv's iframe to display available animals on your own website, you should notice that your adoptable animals pages load faster than they used to. We made some updates to the way in which the animals load on these pages.
• Application History has been added to animal records under the History subtab, so that you can view who has ever applied for this animal and when, as well as the status of those applications. 
• When CVT checks are completed from Tasks, that task now will disappear from the list rather than greying out. 
• Animal entity custom reports have been updated to include two new features:
1. The animal name in the report now links to the animal record directly. This allows you to quickly open up individual records from the report.
2.  A new customized column for Age (in years, months, and days) has been added. The option for Age (in months) also still exists.
• Event custom reports have been updated so that you can use Age Group as a rule on the report. 
• Within intake forms, the "Age Today" fields (years, months, days) now default to "0". This should make these forms a tad faster to complete, as these drop-downs will only have to be clicked if the number needs updated from zero.

Intake directly into foster

A highly anticipated update that we're happy to finally have out for you! Now, you are able to intake an animal (through any of the intake flows) and place them directly into a foster home.

What you use to have to do: You used to have to intake an animal into your custody first and THEN place the animal into a foster home as a separate step.

What you can do now: Now when you're completing any intake form, you can choose to either intake the animal into your shelter or into foster as a built-in part of the form. No extra step.

 

Born In Care Intake Updates

The Born in Care intake flow is now configurable in Configuration. You can find it in the Intake & Outcome section. You can rearrange fields, hide fields, and mark fields as required or optional.

 

Physical Exam Updates

When adding a PE, there now is an option to add a CVT check. This works the same as adding a vet check and will show up on the CVT check task list.

 

Two Other Small Updates

• When creating littermates from an animal's record, the littermates' ages will now prefill to match the animal's record you started on.
• Zip Code is now added to our people entity custom reports.

With today's release, we've made some major upgrades to our Physical Exams that should make them much easier to use. Read on for the details!

Physical Exam

In this release, we've given the Physical Exam (PE) tab a makeover to be more mobile-friendly, as well as updated the physical exam form and how it functions. From now on, all examinations will be accessible through the Physical Exam tab. Your Vet Notes (if you have any) have been moved into and combined with PE.

When you add a new physical exam, instead of loading a new page, you will now see a new collapsible sidebar. Once you have started an exam, you can move throughout the animal’s record with the exam still in progress. This allows you to review the record, add vaccines, etc. while still working on your notes. You can collapse or expand the PE sidebar by clicking on the icon on the right side of the screen, without losing what you've already entered. 

Note: If you leave the animal’s record page altogether, then you will lose your notes. A coming release will include the ability to save drafts. 

To collapse your PE sidebar, click on the arrow. You won't lose your notes, this will only collapse the form.

 

To open your PE exam sidebar back up, click on the note icon.

 

 

The new physical exam form is a combination of Vet Notes and the old physical exam form. You can choose to enter your notes any way you like, using a SOAP format (subjective, objective, assessment, plan), body systems, or both. You will be able to access even more fields by clicking on “Show Options”. Also, you can now quickly fill your PE using a template. This is great for normal or quick exams. Templates are optional and can be customized through Configuration. Currently, you can only customize the normal template. Future releases will include the ability to create more custom templates.

 

Smaller Updates & Bug Fixes

• New custom report options added:
• Intake events not counted towards live intake numbers
• Outcome events not counted towards live outcome numbers
• Q90D (every 90 days) added as a new treatment frequency option.
• Controlled Substances printouts have been improved.
• Adding new partners in Configuration is now fixed. 
• People memo types should now all be displaying in Configuration and People records.
• Zip codes for owner surrendered animals fixed in custom intake reports.

We've made some big updates to the software, and we're excited to share the details with you.

Diagnosis

Diagnosis can now be found as a new tab in an animal's medical record. From this tab, you can add new diagnoses and view all current and/or past diagnoses for the animal.

Note: Diagnosis is no longer available from the Vet Notes.

  

Controlled Substances

You are now able to log and track controlled substances in Shelterluv. You will find a new section in Medical Configuration called "Controlled Substance Tracking," with subsections for Logs, Inventory, and Authorized Users. 

Inventory:

You can add controlled substances via the Inventory section. Once a controlled substance is added, a user can add containers of that drug. For example, you may add Fentanyl 12.5 mcg/hr patches (5/box) as a controlled substance. As you order this drug, you will add containers to inventory and number them sequentially (box 1, box 2, etc.). When you run an inventory report, you will see that for Fentanyl 12.5 mcg/hr, you have a certain number of containers in stock.

To make a box accessible for euthanasia outcomes or for treatments, the box must be activated first. Only active boxes, not those in stock or those that are empty, can be accessed through the euthanasia and treatment wizards.

You can activate boxes, as well as mark containers as empty, through either the Inventory or Log sections of Configuration:



Logs:

As you use doses of each drug through treatments or euthanasia outcomes, you will be asked how much of the drug you've used, how much you might have wasted, and which container it came from. That usage will be logged for that specific container in the Logs section of Configuration.

Authorized Users:

This section is where you control which users are able to log usage of your controlled substances for treatments and/or euthanasia outcomes. You can add and edit users from this list, as well as set start and end dates for authorization of certain users. 

 

Born In Care Intakes

We have built a new intake option called Born In Care. You can find it with all the other intake options from the main Action button.

You will be asked to choose the parent animal, give the number in the litter, and then complete a basic record for each animal in the litter. 

This new flow should be much faster and easier to use. Hopefully it helps make the height of kitten season just a little more manageable!

Hi there! We've made some cool updates to the software, and we're excited to share the details with you.

Edit Age Groups

NOTE: You must have Configuration permissions in order to be able to edit age groups.

You can now edit the age groups that you use for each animal species that you work with, rather than having to use the default groups.

To do so, go to Configuration from the Gear menu in the top-right corner and click on the new "Age Groups" section. Select an animal type to view that animal's current age groups.

 Click "Edit Record" to edit, delete, or add to the existing age groups. While in Edit Mode, anything underlined can be updated.

REMEMBER:

1. Your age groups must cover all ages without any gaps.
2. Age groups can't overlap with each other.
3. The youngest age group must have a minimum age of "0 weeks", and the oldest group must include a maximum age of "No End".

Once you're all done updating, be sure to click "Save". 

 

Vaccine Updates

NOTE: You must have Medical permissions in order to be able to add or edit vaccines.

Vaccine alerts and optional fields:

When adding a vaccine, we have changed which fields are optional or mandatory. Most importantly, we have made the following fields optional:

• Vaccine type
• Manufacturer
• Product name
• Lot number

When you click "View", you will see this pop-up that lists all the foster parents to which you sent the foster plea email, with date, time, and recipient email address. From there, you can even view the email itself by clicking "View" from the "Detail" column.
