Shelterluv makes it easy to process an owner surrender intake from your person records. It is important to keep in mind that owner surrender intakes can only be completed with a person record and cannot be done with a partner.

All owner surrender intakes start from the person record. To get started, navigate to the person record that the animal is associated with.

Return/Surrender Threshold

You may notice that some adopted animals have the option to be returned, while others can only be surrendered. This is due to your configured return/surrender threshold.

You can configure a threshold for your adopted animals to be considered a return or an owner surrender.

For example, if your shelter's threshold is set at 30 days, this means that within 30 days after the adoption, a return will be considered an "adoption return," but after more than 30 days have passed, the return will be processed as an "owner surrender" instead.

Process the Intake

You can complete an owner surrender intake for existing animals in your account, such as a previously adopted animal, or for a new animal record that has not been created yet.

The intake process varies slightly depending on whether that animal exists in your account. Click each tab below for step-by-step instructions for both scenarios.

• Follow these steps to complete an owner surrender intake for an animal record that does not exist in your account yet:

  1. From the person record, click the green Add Animal Event button.
  2. In the Add Animal Event form, click the Owner Surrender button.
  3. Fill out your configured owner surrender intake form and click the green Create Record button.

  

  At this point, the intake is complete. If you have the checkout and contract turned on for your owner surrender intake form, you will be taken to your shopping cart manager so you can add the needed charge and send the checkout to the person in order to get your contract signed and the fee paid.

  "How do I get the contract signed if I don't charge an intake fee?"
  If you have a contract you'd like the person to sign digitally, and you don't charge a fee, you can leave the shopping cart empty and send the checkout to the previous owner. This will display as "Free" to the person completing the checkout, and they'll be able to read and sign your contract as well as give a donation if they wish. They will not be asked for credit card details unless they opt-in to give a donation.

• Follow these steps to complete an owner surrender intake for an animal record that is already in your account:

  1. From the person record, click the green Add Animal Event button.
  2. In the Add Animal Event form, click the Owner Surrender button.
  3. Check the box next to each animal you need to re-intake as an owner surrender.
  4. Fill out your configured owner surrender intake form and click the green Create Record button. If you are re-intaking multiple records, you will complete an intake form for each animal.

  

  At this point, the intake is complete. If you have the checkout and contract turned on for your owner surrender intake form, you will be taken to your shopping cart manager so you can add the needed charge and send the checkout to the person in order to get your contract signed and the fee paid.
