Tracking controlled substances is optional but can be made mandatory on your euthanasia outcome form. We highly recommend keeping paper records while using Shelterluv as a backup for your controlled substance logs and inventory reports.
Due to the sensitive nature of this type of data, digital inventory and logs cannot be edited or deleted.
Click your Username > Configuration > Medical > Euthanasia > Controlled Substance Tracking to get started.

What do I need to configure before I work with controlled substances and authorized users?
Configuration is only accessible through a desktop or laptop. You cannot access the Configuration section on a mobile device.
How to Configure a New Controlled Substance or Authorized User

Follow these steps to configure a new controlled substance:
- From the Controlled Substance Tracking medical configuration section, click the Inventory/Logs section.
- Click the green Add Controlled Substance button.

Fill out the Add Controlled Substance form and click the green Save button.

Follow these steps to configure a new authorized user:
- From the Controlled Substance Tracking medical configuration section, click the Authorized Users section.
- Click the Add Authorized User button.

Fill out the Add Authorized User form and click the green Save button.
You can edit an authorized user by clicking the three dots on the right-hand side and choosing Edit from the dropdown menu.
Inventory and Logs Overview
To get started, open the Euthanasia > Controlled Substance Tracking > Inventory/Logs medical configuration section and choose a controlled substance from the Controlled Substance Type dropdown menu.

After choosing a controlled substance from the dropdown menu, you will see the drug's concentration, quantity, schedule, and any notes added by one of your users.
Print the drug's inventory using the Print button or add notes for that particular drug using the Add Drug Note button.
The drug's inventory will show you the:
- Bottle number
- Received date
- Lot number
- Expiration date
- Balance
- Status
- Bottle notes.
You can add a new bottle or container to the drug's inventory by clicking the Add New Container/Bottle button at the bottom of the current inventory.
Warning
Due to the sensitive nature of this type of data, digital inventory cannot be edited or deleted. -
You can click one of the bottle numbers in your inventory to view the log for that specific bottle.
Click the three dots on the right-hand side of the bottle to:
- View the bottle's log
- Mark the bottle as empty
- Add notes for that specific bottle
- Print the bottle's log
