How to Configure Your Vaccines

Shelterluv maintains a robust and extensive master vaccine list to cover all your needs. Because we maintain a master list, Shelterluv can provide detailed medical reporting on all of your vaccine data.

Vaccine Quick Fill Template


Like treatments and physical exams, you can create a Quick Fill Template for each vaccine you administer regularly. Quick Fill Templates are a powerful time-saving tool to help users auto-fill vaccine details based on your shelter's standard protocols.

The templates you create will auto-fill the standard information you would otherwise have to type out with each new vaccine form (vaccine product, Lot #, and product expiration date, for example).

The default fields for a vaccine Quick Fill Template are the following:

Template Name Choose a descriptive name that clearly defines what the template is for. This will ensure your staff always selects the correct Quick Fill Template.
Species Associate one or multiple species with the template.
Default Product Pick the most commonly ordered vaccine to auto-fill. Your staff can always adjust the product when needed.
Lot # Enter the information from the current box of vaccines you are using. It will only need to be updated when you switch to a box with a new lot number.
Product Expiration Date Enter the information from the current box of vaccines you are using. It will only need to be updated when you switch to a box with a new expiration date.
Default Route Choose the usual route the vaccine is given (SQ, IN, etc.). You can find more details on routes below.
Default Site of Vaccination This is the location of the animal where you administered the vaccine. You can find more details on sites below.
Vaccination Frequency This is how often this template is given. This interval will determine when the next vaccine is scheduled. Think of this as the "next due date". This field will auto-fill based on manufacturer guidelines, but you can set a new default for the template or leave it blank. Staff can also change this when they add the vaccine to the animal.

Routes and Sites


Please note the routes and sites listed below are not configurable.

  • The available routes are:
    • SQ (subcutaneous) = injected under the skin 
    • IN (intranasal) = squirted in the nose
    • PO (oral) = squirted in the mouth
    • IM (intramuscular) = injected into muscle
  • This is the list of sites where a vaccine can be given to the animal. This is important to document in the medical record in order to track adverse events related to vaccines, e.g., sarcomas (tumors). Shelterluv recommends the AAFP guidelines for vaccine placement in cats.
    • Interscapular = scruff of the neck, between the shoulder blades
    • Left front leg = left shoulder or foreleg
    • Left hind leg = left rear leg (FeLV)
    • Mouth
    • Nose
    • Right front leg = right shoulder or foreleg (FVRCP)
    • Right hind leg = right hind leg (Rabies)
