How to Configure Your Memo Types

Shelterluv allows you to create custom memo types for animal and person records in your account. Memos provide open text fields to record information on your records and are reportable.

Click your Username > Configuration > Memo Types to get started.

What user permissions do I need for general configurations?

Configuration is only accessible through a desktop or laptop. You cannot access the Configuration section on a mobile device.

Overview


The Memo Types configuration section will have two animal and person memo types subsections. Both subsections have fixed memo types that come with every Shelterluv account that cannot be edited or removed. Please take a look below for these fixed memo types and how to use them in your Shelterluv account.

    • Behavioral
    The behavioral memo type will display on the system-generated memos document and is used to give information about an animal's behavioral tendencies to an adopter.
    • Custody Change
    The Custody Change memo is added to an animal's record when you complete a custody transfer and add a reason for the transfer. You can see an example of what that looks like by clicking here.
    • Foster's Notes
    The Foster's Notes memo will be automatically added to an animal record when a foster parent enters notes about an animal in their foster portal.
    • History
    The history memo type will display on the system-generated memos document and includes any previous historical data about an animal that is not entered in the medical module. Examples include previous medical history, living conditions, diet, etc.
    • Kennel Card / Website Memo
    Use this memo type for your animal's biography. Anything you type here will be displayed on the animal's kennel card, the animal's profile on your website, and your animal's aggregator profiles.
    • Medical
    Medical memos will be displayed on the animal's Complete Medical History document. Use this memo type to record additional medical information you would like included in the animal's medical history.
    • Next Steps
    The Next Steps memo will be displayed on the system-generated Memos document, and the Location Survey Quick Report will be populated. This memo is used to communicate the plan moving forward for the animal and is usually helpful for foster animals.
    • Pop-up
    Adding a pop-up memo to an animal record will create a red pop-up message directly on the animal's profile. Use this memo type for important information your staff should know when working with the animal record.
    • Internal (Private)
    The private memo type will not be visible to partners or the public in any way. Use this memo type to record information you do not want to be seen by anyone outside of your organization.
    • Counsel
    The counsel memo type appears on a person's memo tab and is used to communicate additional teaching the animal may need before adoption.
    • Danger
    The danger memo type memo appears on a person's Memo tab and is used to communicate internally any issues that may arise with a person (easily angered, etc.).
    • Do Not Adopt
    The Do Not Adopt attribute will add a red attribute to the Person and allow you to enter additional information in a Do Not Adopt memo.
    • Internal (Private)
    Use the internal (private) memo on a person's memo tab when you have an internal note that you do not want to include on the person's system-generated Memos document. These memos will also be hidden from users who do not have the Create and Edit People Records permission.
    • Note
    The note memo type appears on a person's memo tab and is a generic memo to include any other notes on a person's record.
    • Pop-up
    Adding a pop-up memo to a person record will create a red pop-up message directly on the person's profile. Use this memo type for important information your staff should know when working with the person record.

How to Add a Custom Memo Type


Follow these steps to add a new custom memo type:

  1. From the Memo Types configuration section, click either the Animal Memo Types or Person Memo Types subsection.
  2. Click the Add Memo Type button.
  3. Enter the new memo type's name and click the green checkmark check.svg button to create the memo type.

How to Edit and Delete a Custom Memo Type


  • Follow these steps to edit a custom memo type:

      1. Click directly on the memo type's underlined name.
      2. Make your adjustments and click the green checkmark check.svg button to save your changes.

  • Follow these steps to delete a custom memo type:

      1. Click the trashcan outline-trash-delete.svg on the right-hand side of the memo type.
      2. Read the warning, choose an existing memo type that is closest to the one you are deleting to be applied to past record, and click the red Delete button.
