User Permissions Overview

When setting up a new user in Shelterluv, you need to indicate which permissions the user should have. This article will walk through what each user permission controls and gives access to.

What user permissions do I need to edit user permissions?

Add

Shelterluv and the Field and Community Services Module have their own, separate user permissions. Your users will need the Field & Community Services access user permission to access the module, but there are additional permissions inside the module that are needed in order to access different tools or features, just like Shelterluv.

    Configure my shelter and its users


    This permission gives the user access to the Configuration page, which is in the dropdown menu under your username. On the Configuration page, the user can configure anything from the General Shelter and Shopping Cart sections (but not Medical, as that is a separate permission).

    This permission gives the user access to see all other open shopping carts in all user accounts and allows them to delete or complete the transaction.

    Reporting


    This permission gives the user access to the Analysis & Reports page via Configuration. If a user does not have this permission, this page will not appear in the gear menu for them. It is important to note that what data they can report on is dependent on the rest of their user permissions.

    Add medical data to animal records


    This permission allows the user to add medical information to an animal record, EXCEPT for treatments or euthanasia outcomes. Users without this permission will not see options to add any medical data from the Medical tab of the animal's record.

    Create & edit animal records


    This permission allows the user to process intakes (i.e., create animal records) and edit all details on the record EXCEPT for medical information. Users with this permission can upload attachments and view, print, and email all system-generated or attached documents from the animal's record. Users without this permission will be able to view animal records, but they will not be able to alter the record in any way or view system-generated documents.

    View, edit & create people records


    This permission allows the user to create new people records and view or edit existing people records. Without this permission, users will be unable to view or search for people records. It is intentionally built this way as a privacy measure.

    Process adoptions & purchases


    Users with this permission can review applications within the Application Manager and process all outcomes and any type of transaction, including refunds, from a person's record. Please note that you also need the "Create and Edit Animal Records" permission for this. A user without this permission will not be able to complete any type of transaction, including adoptions when they get to the shopping cart page. The payment buttons will be hidden.

    Edit & delete inventories, intakes, outcomes, transactions & licenses


    Users with this permission can access the Record Management page from the dropdown menu under their usernames. This page is hidden from the dropdown menu if a user does not have this permission.

    Schedule & complete treatments & procedures


    This permission allows users to add treatments or euthanasia outcomes to an animal's record.
    This permission is required for users to process medical outcomes. If a user does not have the medical data permission (see above), they should likely not have this permission.

    Configure my shelter's medical module


    This permission will give the user access to the Configuration page in their gear menu. On the Configuration page, the Medical section will display and be entirely configurable for these users.

    Field & Community Services Access


    This permission allows users to view the Field & Community Services module if enabled. You must grant additional permissions within the module's Field & Community Services User Roles section.

    Can be assigned tasks


    The permission gives the user the ability to have activities/cases assigned to them.

    Can add/edit activities and cases


    This permission allows the user to create new activities and cases and edit existing activities and cases.

    Supervisor: Can close/re-open/delete cases


    This permission is considered a supervisor-level permission. Users with this permission can close and re-open cases and delete activities and cases. It is recommended that users with this permission also have the Can add/edit activities and cases permission.

    Can edit configuration


    This permission gives the user access to the Configuration and Users pages.

    Can view reporting


    This permission gives the user access to the Reporting page.

    Receive text notifications/Cell phone number


    This permission Allows the user to receive a text each time an activity/case is assigned to them by another user. Notifications are not sent when a user assigns an activity/case to themselves.
